Marketing Donor Services Assistant At Medical Teams International

This is a limited duration, part-time job share position with a set schedule of Wednesday-Friday.

This position contributes to the calling of the organization by fostering long-term engagement among the core donor base through direct marketing and communication. It ensures that donors experience high-quality interactions with the organization by implementing the key tenants of donor relations: acknowledgement, stewardship, recognition, and engagement. This position will work to maintain positive interactions with donors by working with the Marketing Coordinator and the Gift Processing team.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serve as a contact for donor calls, questions, and complaints, responding quickly and appropriately via phone, email, and social media channels. Ensure current procedures are documented appropriately in the donor service playbook.
  • Ensure excellence in donor experience through individual interpersonal experience. Look for opportunities to improve retention and donor experience.
  • Support gift acknowledgement and thank you cards for donors. Ensure changes within structure are effectively communicated to all relevant parties and necessary changes implemented.
  • Troubleshoot donor questions regarding gifts, pledge payment status, donor advised funds, employee matches, etc.
  • Update and maintain accurate constituent records in Dynamics CRM. Work with other teams as needed to ensure records are complete and meet needs for reporting.
  • Troubleshoot credit card issues after escalation from Finance, including monthly donor credit card expirations.
  • Execute outbound telephone calls for lapsed donors, upgrades, and monthly giving program as assigned.
  • Manage and respond to inquiries that come into the Medical Teams International info mailbox.
  • Support donor retention work. Help with personalized thank you/acknowledgement processes for various donor segments (monthly donors, upgraded donors, anniversary, etc.), utilizing donor service volunteer team and other internal staff as appropriate. Report back on effectiveness and key learnings for improvement.
  • Update names and address information as appropriate and per department guidelines.
  • Update donor relationship information as appropriate and per department guidelines.

Other Duties:

  • Support safeguarding of program participants and employees through promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation & Abuse, Child & Vulnerable Adult protection, and harassment-free workplace policies.
  • Maintain donor confidentiality.
  • Backup for receptionist at front desk.
  • Other duties as assigned.

EDUCATION, LICENSES, & CERTIFICATIONS

Required:

  • Associates degree in marketing or related field.
  • Valid Driver License.

EXPERIENCE

Required:

  • History of successfully managing multiple tasks simultaneously.
  • Minimum 1 year experience doing complex data entry using a database system such as Microsoft Dynamics CRM, The Raisers Edge, or Salesforce.

Preferred:

  • Non-profit experience.
  • 1 year experience in marketing, customer service, or similar role.

  • Must be highly detail oriented, learn and comprehend a complex database with highly detailed policies and procedures.

Communication Skills:

  • Strong verbal and written communication skills.
  • Confidence in making phone calls and communicating with empathy to donors.
  • Ability to represent the organization in a professional manner to donors, volunteers, and the public.
  • Ability to project a sense of understanding when dealing with others, both internally and externally.

Computer Skills:

  • Moderately skilled with Microsoft Outlook, Word, Excel and PowerPoint software.

Preferred:

  • Moderately skilled working in a relational database such as CRM, Raisers Edge, or Sales Force.
