Context and Scope

Under the overall supervision of the Chief Migration Health Officer and the direct supervision of the Senior Medical Assistant the successful candidate will be responsible for the carrying out the following duties and responsibilities in relation to the Migration Health Assessment Centre (MHAC) in Amman, Jordan.

Internal candidates are eligible to apply to this vacancy.

For the purpose of the vacancy, internal candidates are considered as first-tier candidates.

Core Functions / Responsibilities:

  • Maintain a filing system for all hard copies for all different MHAC projects.
  • Take a quality assured identification Digital picture for all projects requiring it, rename it and archive on a shared folder and provides the Medical assistance team with the relevant link.
  • Gives medical appointment to applicants coming for all projects in MHAC. Also, will follow up and trace all applicants whose numbers are unreachable.
  • Merges the DS forms generated from MiMOSA web with all additional documents, using the PDF application and saves it on the shared folder; provides a relevant link to the Data processing team upon request.
  • Calls the no show refugees who did not attend the medical appointment and gives new medical appointment with time and location.
  • Send and receive all documents from and to the clinic and IOM main office Building.
  • Answer all the calls coming in to MHAC by the applicants and act accordingly as the requirement may be.
  • Provide all HA related information on calls to the applicants.
  • Take part in the registration process on e-medical in case of high caseloads or as advised by the medical assistant focal point.
  • Send all samples to MOH from the clinic.
  • Perform such other duties as may be assigned.

Education and Experience

  • University degree in Administration from an accredited institution with minimum One-year (1) of relevant working experience; OR Completed Secondary School Diploma with minimum Three (3) years of relevant professional experience, preferably in administrative support or similar roles.
  • Working with refugees/migrants in a medical setting is an advantage.
  • Previous working experience with NGOs or international organizations is an advantage.

SKILLS

· Team working skills and basic handling of computers

Languages:

Fluency in English and Arabic oral & written is required.
