The United Nations Global Service Centre (UNGSC) provides critical Supply Chain, Geospatial, Information and Telecommunications Technologies services and Training to all Secretariat Entities, Peacekeeping and Special Political Missions, Agencies, Funds and Programmes of the UN system worldwide.
This position is located in the Warehouse & Distribution Cell, Delivery & Return Section, Supply Chain Service at the United Nations Global Service Centre, Brindisi, Italy.
The Movement Control Assistant is under the general supervision of the Chief, Warehouse & Distribution Cell, Delivery & Return Section Unit, Supply Chain Service.
Responsibilities
– Receives and registers cargo movement requests for air/ground transportation.
– Receives supplies from different sections, arranges for transportation and follows-up from delivery to destination.
– Completes cargo manifests and other documentation. Arranges customs clearance and related documentation.
– Handles cargo as required, and ensures cargo (including dangerous cargo) is loaded in accordance with International Regulations.
– Cooperates with Italian Customs Authorities for the processing of customs clearance formalities.
– Informs appropriate consignees on delivery of items.
– Creates and keeps updated inbound and outbound deliveries in SAP.
– Prepares scope of requirements and follows up with Procurement to identify shipping solutions.
– Coordinates with receiving entities all shipping details and ensures that each shipment has the correct documentation for customs clearance.
– Prepares and processes monthly attendance records, leave request, F.10 claims, CMRs, e-job supply request and other documentation as required.
– Prepares, compiles and maintains cargo statistics related to air/ground movements. Tracks and traces missing cargo and baggage.
– Drives vehicles at the airfield in keeping with appropriate licenses.
– Prepares, processes and follows-up on administrative arrangements with respect to inbound and outbound shipments.
– Maintains Unit files as required (both in hard and soft copies), administrative instructions and other related documentation.
– Provides general office support services such as drafting routine correspondence and the distribution to various officials.
– Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
– Assists with visualizations and updating information material such as web pages or brochures.
– Performs other duties as and when required by the supervisor.
Education
High school diploma or equivalent is required.
Job – Specific Qualification
Diving License Type ‘B’ is required.
Driving license for higher levels, i.e. type C and D, is desirable.
Forklift operator certificate (minimum 3 Tons) is required.
SAF.01 – ‘Airside Safety’ certificate is desirable.
Certification for handling and shipping dangerous goods by Air and Sea is desirable.
Work Experience
A minimum of three (3) years of progressively responsible experience in Movement Control service, transport, logistics or related fields is required. The minimum years of relevant experience is reduced to one (1) for candidates who possess a first-level university degree or higher.
Experience working with an ERP (Enterprise Resource Planning) system, such as SAP, is required.
