About the Program
NCP is a signature initiative of the Australian Government which aims to lift knowledge of the Indo-Pacific in Australia by supporting Australian undergraduates to study and undertake internships in the region. Students undertake Scholarship programs, participate in Mobility projects, and on completion join an Alumni program. The strategic objective of the NCP is to strengthen Austral ia’s regional standing by building a diverse cohort of Australian alumni with deeper Indo-Pacific knowledge, capability, and connections, contributing to the development of enduring people-to-people and institutional links, as part of the Australian Government’s public and economic diplomacy.
Palladium is contracted by the Department of Foreign Affairs and Trade (DFAT) to manage the NCP MASS which underpins the effective operation of the Scholarship, Mobility and Alumni programs, and provides the cross-cutting functions of Finance and Funds Management, Communications, Business Engagement, Risk Management, and Monitoring, Evaluation and Learning (MEL). The program provides these services to the DFAT New Colombo Plan Secretariat (NCS) who oversee the program and lead on all NCP strategy, policy, and key stakeholder relationships.
Role and Location
The NCP Travel Officer is a full time, fixed term role to 31 December 2023. The rol e will ideally be based in Adelaide however Brisbane would be considered. Travel to Canberra for the suite of NCP events in early December 2023 is a requirement of this position.
The NCP Travel Officer is responsible for providing efficient travel and logistic support services for the NCP program. The NCP Travel Officer will plan, coordinate and implement travel and logistical arrangements for NCP scholars, alumni and stakeholders to attend events and participate in activities in Australia and internationally. This will include developing and implementing a travel management plan for a week of flagship NCP events that will take place in December 2023 in Canberra, working with Palladium’s corporate travel booking partner, Egencia, to make travel arrangements for more than 200 attendees.
Primary Duties and Responsibilities
Essential
-Exceptional travel coordination skills with experience managing travel lo gistics for small and large scale events/activities;
-Demonstrated ability to manage multiple events/activities simultaneously with competing deadlines and multiple stakeholders;
-Strong process skills and an attention to detail, to ensure compliance with operational procedures and policies;
-Proactive problem solving skills and an ability to identify and manage risks and issues, within designated authority levels and team management frameworks;
-Excellent interpersonal skills with the ability to effectively build a rapport with a diverse range of stakeholders to deliver successful events/activities;
-Excellent organisational and computer skills, experience using a travel booking system, MS Word, PowerPoint and Excel;
-Fluency in English;
-Demonstrated commitment to diversity and inclusion, particularly in a cross-cultural context; and
-Available and willing to travel to Canberra from 1 – 7 December 2023.
Desired< br />Experience of supporting projects and/or events for DFAT or another government client.

-Travel Expense Claims.
-Work as part of a team to plan, coordinate and implement travel and logistical arrangements for a suite of flagship annual events and work plan activities.
-Develop and maintain positive working relationships with key stakeholders, event partners, event service providers, private and not-for-profit organisations, event management company, travel provider, suppliers etc.
-Contribute to the production of high-quality reports, risk assessments, planning documents and presentations for clients.
