Officer, Communications Operations At International Medical Corps

JOB SUMMARY: Support International Medical Corps mission by providing administrative and operational assistance to the Global Communications department. Work with Global Communications colleagues and other International Medical Corps staff as necessary to increase efficiency in the department by coordinating projects and organizing assets, including maintaining digital assets, and creating project plans and timelines. Coordinate with Communications Department colleagues to ensure that content is up to date and accurate by monitoring and maintaining internal systems and tools, and external web properties.

MAIN TASKS AND RESPONSIBILITIES

• Accept and organize submissions to International Medical Corps’ digital photo and video library, including the gathering of required documentation for all media assets. Maintain this library of assets. • Maintain the Communications Department’s internal intranet site, ensure all documents and information are up to date and look for opportunities to improve the intranet and its use. • Help maintain and update International Medical Corps websites, using tracking tools to monitor when pages need to be updated, and coordinating with the appropriate stakeholders to gather and post updates and corrections. Add new content to the website as it is created. • Coordinate and help manage communications projects by creating project plans, scheduling meetings, managing timelines and following up with stakeholders. • Maintain tracking sheets that monitor new media, assets and events, disseminating information across the team as required. • Help develop processes and tools in line with the needs of the Global Communications team, using the Microsoft Teams platform. • Assist with the formatting of documents within Microsoft Office suite, including Microsoft Word, Excel and PowerPoint, using existing templates when appropriate. • Synthesize and assess needs of the Global Communications team to help develop and improve processes and tools to better carry out projects. • Assist as needed with printing, ordering and distribution of International Medical Corps publications and visibility materials. • Assist with the procurement and ordering of Communications items, including processing of paperwork and invoices. • As necessary, provide general administrative and operational support to the Communications Department.

JOB REQUIREMENTS *

MINIMUM QUALIFICATIONS

• Typically, a Bachelor’s degree in related area. Equivalent combination of relevant education and experience may be substituted as appropriate. • Typically, 3+ years of relevant experience • Strong administrative, operations and coordination skills • Strong communication and interpersonal skills • Strong grasp of the application of digital tools to improve team process and workflow • Experience working within a content management system, specifically WordPress or similar platform • Experience working within a digital asset management (DAM) system • Experience working within Sharepoint • Experience working for an NGO and/or humanitarian-aid agency. • Strong organizational and project-management skills; ability to oversee production of a high volume of quality work within tight timeframes, often including multiple simultaneous projects • Expert knowledge of Microsoft Office products, specifically Word, Excel and PowerPoint; working knowledge of Microsoft Teams • Experience working in a variety of cloud-based enterprise solutions, including Sharepoint, Dropbox and similar tools • Strong communication and interpersonal skills; ability to communicate effectively with people inside and outside of the organization, and to manage working relationships diplomatically, both independently and as part of a team in a multicultural and participatory environment • Thorough, detail-oriented and precise • Fluency in English, spoken and written; additional languages a plus
