The purpose of the Administrative Officer position is to provide daily support service to the NRC offices in Venezuela from Caracas, and also to maintain the country office.

General Responsibilities:
Ensure compliance with NRC policies, tools, manuals and guidelines.
Support with the implementation of the project portfolio according to the action plan.
Implement procedures and activities indistinctly within the function itself or basic competence as delegated.
Organize and execute tasks according to priorities and standards.
Develop and maintain knowledge of the area of ​​work specialization in which technical assistance and support is provided, in order to be more effective in supporting the team.
Initiative in solving daily problems in accordance with agreed procedures, priorities and standards for the work area.
Prepare and develop required status reports.
Ensure proper physical and digital filing of documents.
Promote and share ideas to strengthen the functions of your role.
Keep strict confidentiality of all the information that you have knowledge by reason of your job and that is of a private, confidential nature or whose communication could cause harm to the populations with which you work and to NRC.
Specific responsibilities:

Support with the organization of travel for employees in Caracas and for visitors (ticket ordering and hotel reservation management) and be the focal point of travel in Caracas.
Order and maintain a regular inventory of office supplies, including stationery and hotel supplies and Information and Communication Technology equipment.
Support in the socialization of manuals and administrative procedures of the NRC in the office.
Be the focal point for service providers in the Country Office and guest houses (including: plumbing, electrical, telephone owners and technicians).
Responsible for processing payments to providers of legal services, leases, utilities and bottled water, according to the rules established for that purpose.
Regularly monitor the guest house in Caracas to ensure that public services are working well.
Supervise the housekeeping staff of the Country Office and guest houses.
The others assigned by the supervisor in compliance with the objective of the position.

Qualifications

Professional skills:
University professional in Administration, Computer Science or a related career.
Generic skills for this position:
Minimum three (3) years of proven experience in a similar position.
Experience in similar positions with an international organization, with United Nations Agencies and/or a humanitarian context.
Previous experience of working in complex and volatile contexts.
Document results related to the responsibilities of the position.
Basic command of English.
Specific skills, knowledge and experience:
Verifiable experience related to the responsibilities of the position.
Knowledge of legal accounting and tax regulations (desirable).
Knowledge of inventory management (desirable).
Skills for work in multicultural contexts.
Experience and advanced knowledge in the use of MS Office and other software packages. Knowledge in support of computer equipment (Laptops, printer, among others).
