The Opportunity

The Operations Coordinator is accountable for general office and financial administration functions of the country office. The position is the coordination point between FHF’s Business Operations global team, its technical support hub, and the Country Office.

The Operations Coordinator will own the outcomes of:

  • Office Management: Oversee the efficient running of the country office, including health and safety compliance, office lease rental, stationery and pantry supplies, first aid kit, fixed assets, office equipment, internet, office maintenance and utilities. Coordinate fulfillment of government compliance requirements. Induct new staff on local and global office policies, processes, and systems.
  • Travel & Security Coordination: Coordinate logistics, travel and accommodation for the country team, visitors, and meetings, including visas, medical and other travel requirements for travelers leaving or entering the country. Ensure trip and incident reports are completed and submitted in a timely manner. First point of contact for office visitors and guests. Maintain the country office security manual and provide security briefing when needed.
  • Administrative Support: Coordinate the procurement of goods and services to ensure appropriate suppliers fulfill FHF and partners needs in line with FHF standards. Provide administrative support for the local team including event management, coordination with partners and beneficiaries including contract management, file storage management, preparation of risk registers, fraud, due diligence, child protection and other operational reports. Liaise with the global IT service desk to fulfil local office and staff IT support needs
  • Finance Administration: Prepare and process country office requisitions, payment of invoices, manage petty cash, bank transactions, reconciliation, and other finance requirements. Work with external parties in relation to audit and tax compliance. Work with global finance team to ensure correct approvals, accuracy, timely entry of data and filing of documentation. Induct new staff and partners on FHF financial policies and procedures to ensure accurate and timely payments and purchases as per program workplans and budgets.
  • Other tasks as requested by your manager.

About You! To be successful in this role, we are looking for someone who brings the following skills and experience.

  • Minimum 5 years’ experience in providing administrative support and managing a small office.
  • Experience undertaking bookkeeping activities.
  • Purchasing and general accounts.
  • Experience working with the Microsoft office suite, including Outlook calendar management.
  • Experience working as part of a team.
  • Formal qualifications in bookkeeping or equivalent

Something extra to get our attention!

  • May have worked in the INGO sector.
  • Experience using centralised business systems (such as purchasing, book-keeping, project management etc).
