The American University of Afghanistan is Afghanistan has only nationally accredited, private, not-for- profit, non-partisan, and coeducational institution of higher education. It opened its doors in 2006 with an initial enrollment of 50 students, and since that, time has grown to enroll more than 1,700 full- and part-time students across undergraduate, graduate, and professional training programs. Job Summary

The Operations Officer will provide critical support to the Operations Team The function of the position is both to facilitate efficient processes in support of designated tasks, goals and objectives, and to ensure the correct oversight.

Duties and Responsibilities:

Logistics:

Tasks:

  • Implementing inventory management systems.
  • Monitoring and maintaining accurate records of inventory levels.
  • Monitoring and maintaining accurate records of Fixed Assets.
  • Coordinate the procurement and delivery of goods and services.
  • Manage and create Service/Goods Receipt Notes for the services and items.
  • Streamlining logistical processes to enhance efficiency and cost-effectiveness.
  • Identifying potential risks in the supply chain and developing strategies to mitigate them.
  • Serving as a point of contact for logistics-related inquiries.
  • Coordinate and validate monthly reporting requirements in collaboration with Finance Officer/Accountant.

Travels:

Tasks:

  • Help with all travel tasks with HR department.
  • Will be functionally reporting on the travel part to HR department.
  • Plan and organize domestic and international travel for staff in coordination with POC of HR Dept.
  • Ensure compliance with travel policies and budget constraints.

Administration

Tasks:

  • Ensuring compliance with relevant regulations and standards.
  • Collaborating with internal departments to ensure seamless communication and coordination.
  • Prepare regular reports on logistics and travel activities.
  • Analyze data to identify areas for improvement and cost savings.
  • Ensure adherence to relevant laws and regulations in logistics and travel.

Required Qualifications:

  • Bachelor’s Degree with 4 years’ experience in the related field.
  • Bachelor’s degree in Logistics, Supply Chain Management, or a related field is preferred.
  • 2 years of relevant experience working with USAID/Federal funded programs is preferred.
  • Proven experience in logistics and travel coordination.
  • Strong analytical and problem-solving skills.
  • Familiarity with relevant software and technology for logistics management.
  • Ability to work independently or as a team member.

Skills:

  • English language proficiency (oral and written).
  • Proficiency with Microsoft Word, Excel and Power Point.
