Organizational Context
The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world’s largest humanitarian organization, with a network of 192-member National Societies. The overall aim of the IFRC is “to inspire, encourage, facilitate, and promote at all times all forms of humanitarian activities by National Societies with a view to preventing and alleviating human suffering and thereby contributing to the maintenance and promotion of human dignity and peace in the world.” The IFRC works to meet the needs and improve the lives of vulnerable people before, during and after disasters, health emergencies and other crises.

The Headquarters are organized into three main Divisions: (i) National Society Development and Operations Coordination; (ii) Global Relations, Humanitarian Diplomacy and Digitalization; and (iii) Management Policy, Strategy and Corporate Services.
The IFRC has five regional offices in Africa, Asia Pacific, Middle East and North Africa, Europe, and the Americas. The IFRC also has country cluster delegation and country delegations throughout the world. Together, the Geneva Headquarters and the field structure (regional, cluster and country) comprise the IFRC Secretariat.

Job Purpose
The Partnership Intern plays a supporting role for the Development Unit of CCD Indonesia – Timor Leste in general and projects/activities related to CCD partnership in particular, to:
- Ensure all projects/activities comply with IFRC’s internal procedures/administrative requirements
- Supporting the Partnership and Research Senior Specialist ondevelop a mechanism to ensure that all communications with external partners are supported with updated information, properly documented, and properly follow up as needed.
- Focal person for central data on documents related to result of processes related to partnership portfolio
The main roles of the post are:
- Provide support for the Partnership and Research Senior Specialist and the Development Unit on managing the administration aspects of projects/activities implementation, which may include project implementation, procurement, payment to vendors, and reporting (as needed);
- Provide support in arranging meetings/calls with external partners, other IFRC CDs/CCDs/Regional Offices, and other Movement partnersManaging proper documentations (screenshots, photos, meeting notes, etc. if needed) and list of follow up steps (if any) of meetings/callsProvide support in arranging meetings/calls, managing proper documentations and list of follow up steps with CCD Indonesia – Timor Leste technical staff/teams for activities/projects related to partnership potfolio. Coordinate with IFRC’s procurement team, finance team, and administration support team as required;
- Working with technical colleagues, support the CCST to influence policy making, including at ASEAN level on relevant files;
- Provide inputs/suggestions for improving the administrative arrangements of CCD Indonesia – Timor Leste partnership, if any;
- When required, working in collaboration with Communication team on monitoring media exposure on IFRC/PMI/CVTL operations.
Job Duties and Responsibilities
Supporting the Partnership and Research Senior Specialist, the Development Coordinator and the CCD for Indonesia and Timor Leste
- Support in providing high quality drafts of meeting notes, reports and project/activity updates
- Support with managing list of compliance to IFRC project management procedures, which includes procurement, finance, HR, event organizing, etc.
- Support with filling drafts/forms related to IFRC’s project management procedures
- Updating/creating partnership databased on Project Agreements with NS, donor interest and other required databases.
- Develop Minutes of meeting for endorsement of Partnership and Research Sr Officer and to distribute the document to the approved recipients.
- Properly organizing meetings/calls and schedules as needed
- Support monitoring the progress of activities, including liaising with partners, developing draft of ToRs and scopes of work, managing consultants, etc.
- Support or coordinate participants registration/logistic for external events
Education
- Relevant university degree or equivalent knowledge;
- Relevant professional training courses (Red Cross/Red Crescent related, humanitarian and development sector, management, etc.) is preferred;
- Knowledge on humanitarian diplomacy;
- Graduation date is no more than one year prior to the start of the internship is preferred.
Experience
- A minimum of 6 months experience in project management is preferred;
- Experience working in multisectoral cooperation/partnership with donors/NGO/inter-governmental agencies is preferred;
- Have a good knowledge with ASEAN is preferred;
- Experience of planning and managing finances and budgets is preferred;
- Be currently enrolled in a university or equivalent level, or have graduated recently (within 1 year from the date of hiring).
Knowledge, Skills, and Language
- Self-supporting in computers (Windows, spreadsheets, word-processing, email, etc.);
- Able to work under minimum supervision and have strong initiative on developing partnership;
- Able to work well in a multicultural team and in a changing environment;
- Fluently spoken and written English;
- Fluently spoken and written Bahasa Indonesian.
