Médecins Sans Frontières, an international humanitarian medical association created in 1971, provides medical assistance to populations whose lives are threatened: mainly in the event of armed conflicts, but also epidemics, pandemics, natural disasters or even exclusion from care. The French section is present in around thirty countries.
As part of a replacement, we are looking for an Assistant in the private fundraising department.
Assignment :
The mission of the assistant in the private fundraising department is to facilitate the organization and circulation of information within the department, with other departments and the international movement and with the outside world, to ensure the conservation and archiving of documents and carry out various tasks related to the activities of the department.
Main responsibilities:
Under the responsibility of the private fundraising department and interfacing with all services, the department assistant’s missions are:
Support for team life:
- You organize and lead the system of department meetings and service managers: participate in defining agendas and organizing meetings, write reports and ensure their dissemination.
- You are the entry point for the Collection department with assistants from other departments.
Administrative and HR management:
- You ensure the administrative and HR management of the entire department (monitoring absences, contract requests, interface with HR, booking meeting rooms, monitoring invoices and expense reports, hotel reservations and train/plane tickets, supplies etc…) and follow the management budget.
- You participate in the recruitment process (publication of advertisements, follow-up with the recruitment department, etc.). You take care of briefing new arrivals in the department and ensure proper appropriation of the tools used by the department to promote transversality.
- You provide support to the entire department in the event of emergency collections or one-off projects.
Management of information and internal communication:
- You organize the circulation, backup, prioritization and organization of information shared by the entire department. In this sense, you are the referent on all archiving issues (physical and electronic).
- You participate in internal communication in the department, in particular via the writing of a weekly newsletter and the animation of the department’s collection page on the intranet.
- You participate in the editorial committee of the MSF France internal newsletter.
Organization of events:
- You provide support to the services/department in the case of organizing meetings, seminars, events relating to private fundraising.
Support for the Collection Department:
- Organization of diaries, budget monitoring, etc.
Development of transversality and sectoral monitoring:
- You contribute to the development of transversality with other MSF services/departments.
- You ensure sectoral monitoring and coordination with professional fundraising bodies in France (AFF / France Générosités).
- You facilitate exchanges with the international office as part of capacity building (registration of teams to international working groups, dissemination of information to the team, assistance with coordination, etc.)
Required profile:
Training: Bac +3 minimum.
Experience :
You have a particular interest in humanitarian work, and a minimum of 3 years of professional experience in a similar position.
Skills: Mastery of the office pack, good writing and communication skills.
Languages: Fluent French and English (oral, written)
Status: Full-time permanent contract. Position based in Paris.
Terms :
€40.24K gross annual over 13 months.
22 days of RTT per year. Supplementary health care 100% covered by Médecins Sans Frontières. Restaurant vouchers with a face value of €11 (60% covered by Médecins Sans Frontières). 50% coverage of public transport fare. 2 days of teleworking per week.
Position to be filled : Mid-July.
