Procurement & Logistics Assistant At Ghiras Al-Nahda

General Description of the Organization:

Ghiras Al-Nahda is a Non-profit Non-governmental humanitarian organization working to empower people through fulfilling their basic needs and seeking to improve community stability and resilience.

Job purpose: the position exists to directly support the procurement and logistics functions and requirements as part of the Turkey and Syria offices supply chain management. This includes the management of the organization’s assets, procurement and logistics, and supply chain management.

The Procurement and Logistics assistant report to the Procurement and Logistics Coordinator for all the logistics and warehouse functions, and also works closely with the procurement team.

Duties, & objectives:

  1. Coordinating with the Procurement Officers and the Procurement and Logistics Coordinator to prepare all the necessary documents to record the asset’s details as per the procurement document and submit to the Logistics Coordinator for assigning GAN Assets ID Tag.
  2. Maintain a proper filing of all documents related to GAN’s Assets.
  3. Prepare the necessary Assets Handover form and submit it to the Procurement and Logistics Coordinator for endorsement before assigning any assets to staff.
  4. Assist Procurement and Logistics Coordinator in conducting the physical count of GAN Assets and property reconciliation report for all the GAN offices (the main office in Gaziantep, Syria offices).
  5. Communicating with the logistic staff inside Syria and coordinating with them and with the coordinator of the Procurement and Logistics Department in purchasing operations.
  6. Follow up and Coordinate with the procurement and logistics Coordinator in tenders in Turkey or in Syria.
  7. Follow-up and work on updating the lists of suppliers in Turkey and Syria periodically.
  8. Preparing the checklist for procurement with complete documents and submitting them to the finance department for payments.
  9. Take initiative for procuring of all goods and services valued below USD 500 as per the Procurement Policy in consultation of Requesters, and Procurement and Logistics Coordinator.
  10. Prepare weekly, monthly, and quarterly procurement status reports for all purchases.
  11. Managing the contracts with the vendors in coordination with the Procurement and Logistic Coordinator.

Experience and qualifications:

1- One year experience at least in Administration, Logistics & Supply Chain Management

2 – Experience managing Assets, Procurement processes, and Logistics operations

Knowledge of procurement, logistics, and supply chain management system and procedures

3 – Good communication and writing skills

4 – Good networking capability

5 – Good English and Turkish languages skills

6- Turkish nationality will be an advantage
