The USAID-funded Clean Cities Blue Ocean (CCBO) project in the USA, implemented by Tetra Tech International Development, is currently accepting expressions of interest for a Program Assistant. This position will be located in Lima, Peru.
The Program Assistant will be responsible for providing direct assistance to program implementation and support to the Country Director, Finance and Administrative Manager, MEL Specialist, and Grant Specialist.
Responsibilities:
*Maintain official contact and telephone listings for project personnel and outside contacts, including but not limited to, NGOs, government offices, local businesses.
*Maintain Subcontracts and consultants’ documents and records, both hard copy and electronic, as instructed; assist in the procurement process when needed and maintain records of procurements.
*Develop and maintain a formal Activity Deliverables tracker and files that includes draft versions developed and submitted, commentary received, responses provided, and formal approvals.
*Coordinate with technical staff and grantees to obtain and review data submissions in a timely manner; ensure all grant-related information is compliant, up-to-date and maintained according to established filing policies.
*Monitor and track grantee deliverables and reporting compliance; participate in grantee site visits and compliance checks.
*Support the reception, follow-up and organization of implementation progress documents and materials; collect and analyze data as requested.
*Facilitate the Review and Evaluation Committee (REC) process by preparing score sheets, ensure signature of Certification Regarding Conflicts of Interest and Non-Disclosure, circulating applications to REC members, taking notes and alerting applicants of the status of their applications.
*Prepare requests for travel authorization for submission to management staff and reconciliations of travel advances; maintain calendar on program activities and travel.
*Support in the planning, organization, and implementation of special events; provide other executive assistance as required by the Country Director.
Qualifications:
*University degree in Business administration, Economics, Communications or similar field.
*Minimum of three (3) years’ experience in an equivalent position.
*Experience working on a donor-funded project with similar procurement rules to USAID is preferred.
*Excellent interpersonal skills, including patience, diplomacy, willingness to listen and respect for colleagues.
*Must be capable of working both individually and as part of a team. Must also be able to create a supportive working relationship among all project teams.
*Excellent Language proficiency in Spanish and functional English.
