Key roles and responsibilities

Job Purpose

Under the supervision of the Senior Project Officer and Area Coordinator, the Project Assistant will be responsible for the planning and implementation of Seasonal Food distribution and monitoring activities of FSL Project, as well as being in charge of timely reporting.

She/he will be fully responsible for ensuring the quality of service delivery and successful accomplishment of all activities and set targets.

Objectives

To ensure the project is implemented in a timely and Professional manner, according to objectives, goals and indicators, in line with donor requirement and based on beneficiary needs.

Implementation of the project

  • Plan, direct and aid in the management of the project.
  • Organize and facilitate recurring meetings with different Stakeholders and ensure proper follow up of all decisions and recommendations are taken during these meetings
  • To establish PMC’s in each location in line with organizations guide guidelines
  • Conduct training and capacity building of Project staff .
  • Providing technical support to the Team in the field to maximize the impact of the trainings to increase community and household output (based on ToT methodology);
  • Carry out assessments, monitoring and evaluation activities as required by the project
  • Support the team in the Training of farmers on the correct methods on the various stages of cultivation and maintaining an agricultural technique demonstration farm
  • Undertake needs and capacity assessments as and when requested by the Project Manager
  • Working closely with the project team to plan the day to day activities to ensure that program goals are achieved and submitted weekly reports
  • Assist the FSL and Program team in developing BoQs/budget about any training and/or workshop and constructions concerned with livelihoods (granaries, tree nurseries, demonstration plots);
  • Carry out community sensitization and mobilization sessions with targeted community leaders to ensure communities are aware of the project objectives
  • In collaboration with the Project Manager and the Distribution Monitors, develop mobilization messages to communities to ensure there is transparency in communication.
  • Participate in distribution events for each of the activities to ensure there are no losses incurred and with a high level of integrity and transparency
  • Prepare project activities reports in accordance with standard reporting requirements, and support the Project Manager in filling in internal reporting tools on a weekly/monthly basis
  • Work closely with the FSL team to plan the day-to-day activities and liaise with other departments (Logistics, Finance, Administration and Security in particular) to ensure coordination during activities’ implementation
  • Ensure accurate and timely reporting of activity Progress and Food distributed
  • Ensure effective integration and mainstreaming of gender into all distribution program
  • Maintain good working relation with communities and staff
  • Performs other duties under project as requested by Project Manager;

Documentation

  • Ensures all the waybills, delivery notes and returned waybill and all other documents involved in Distribution are well filed in their respective files.
  • Ensure all the documents are scanned/photocopied and submitted to Juba every month.

    Accountability to Communities and Beneficiaries

The staff member is responsible for ensuring that good relationship with the communities and beneficiaries is maintained, respected and any activities carried out in a consultative manner. Due attention must be paid in ensuring that communities and beneficiaries are adequately consulted and informed about ACTED programme objectives, activities, beneficiary selection criteria, and methodologies.

Relationship with other partners.

In liaison with the Programme manager and Coordination, Project Officer will ensure that Relationship with other partners is maintained and h/she will conduct himself/herself in such a manner that promotes good cooperation and work ethics with other partners.

QUALIFICATION AND EXPERIENCE

  • Minimum Bachelor’s degree in Any related field
  • At least two to three years of experience working in humanitarian settings; experience in the field of Food Security and Livelihood with a reputable institution(s) will be an advantage/an Asset regarded
  • Experience in partnership building and coordination with the donors, private sector, NGO and local community organizations.
  • Ability to balance competing priorities on a tight deadline
  • Fluency in English.
  • Demonstrated strong analytical, managerial, leadership, communications and interpersonal skills.
  • Positive collaboration and facilitation skills ; Leadership of large and diverse teams ; Diplomacy.
  • Good reporting skills
  • Ability to operate in cross cultural environments requiring flexibility.
  • Good knowledge of the Office package (Excel, Power Point and Word);
