Programme Management Office Senior Assistant (Grants and Contracts) At UNOPS

Under the overall supervision of the Programme Management Office Specialist (Grants and Contracts), the Programme Management Office Senior Assistant (Grants and Contracts) will work to support the delivery of Fund activities. He/She will collaborate closely and engage actively with the Program Unit assigned role in the designated funds, and will be responsible for:

Grants Management

  • Ensure all the necessary and relevant Due Diligence Assessment related documents are collected, filed, signed and archived as needed
  • Monitor deadlines and communicate with the Implementing Partners and Programme team on pending and delayed reports for Due Diligence Assessment
  • Update DD monitoring spreadsheet to ensure dashboard is regularly updated
  • Assist in creating DDA reports and provide other data as required and maintain DDA records
  • Assist in the processing and following up due diligence assessments with implementing partners for both organisations as well as individuals
  • Assist in the verifications of Implementing Partners on OHCHR Fact Finding Missions and other sanctions list including downstream partners
  • Follow payment schedules to prepare and process necessary documentation in accordance with agreed-upon payment schedule as per grant agreements and fund availability,
  • Create Purchase Orders (PO), prepare relevant necessary communication, and submit payment requests to Finance
  • Maintain the archive and filing system by filing all required records for the Due Diligence Assessment both in hard copy and on the share drive
  • Assist in the tracking of risk mapping tools and logs

Administration and Logistics

  • Assist in the organization of trainings and workshops particularly standards of conduct training, fraud awareness training.
  • Assist in the update and maintenance of tools and databases
  • Collection and maintenance of records, both hard copies and electronic copies for easy reference and retrieval, related to contractual arrangements – on audits, inventories, utilization and all such elements in the contracts and grants
  • Keep the supervisor updated on progress and issues, and prepare briefing materials as requested for discussions on the status of Due Diligence Assessment for Implementing Partners

Education/Experience/Language requirements

Education

  • Secondary education diploma or equivalent is required.
  • Bachelor’s degree in Business administration, Management, Economics, Commence, or related subject is an asset.
  • Completion of PRINCE2 Foundation certificate is an advantage.

Work Experience

  • Minimum of 5 years of experience in compliance, fraud prevention, law, or project management, project administration and/or project support in a private or public organization is required.
  • Previous successful involvement with, and a good knowledge of the development and humanitarian sector/working with UN, Donors, or NGOs is an advantage.
  • Prior experience with UNOPS is an advantage.
  • Experience with Google Workspace is an asset.

Language Requirement

● Full knowledge of English and Myanmar language is essential.
