Job Overview

The job holder is a member of the IAG Global team and will accordingly contribute to the development and implementation of the Inclusion Advisory Group operations and programme.

The CBM Global IAG exists to support others to put inclusion into practice. We partner with the disability movement to influence humanitarian and development organisations, institutions and systems to realise the rights of persons with disabilities. This is done through a tailored combination of technical assistance (TA) on policies and programmes, change facilitation, capacity strengthening and evidence of what works.

As a member of the IAG global team, the job holder will contribute to ensuring the work of the IAG global team is well coordinated and modeling inclusive practice through effective operational support. This will be done through supporting a combination of:

  • Contracted work pieces with IAG clients (e.g., UNFPA, WFP)
  • Key projects that enable wider IAG operations, including our community of practice and communications work.

While the Project Coordinator is expected to work relatively independently, she/he will work collaboratively with the IAG Global team, and wider Operations teams inside CBM Global and its members.

Ideally, we are looking for someone that has good project coordination experience, who may have some experience in organising and coordinating (accessible) events, coordinating contractors, and some experience managing development projects is a bonus. Someone that is confident balancing competing priorities, anticipating challenges to meeting commitments and taking initiative to solve potential problems. Someone who is keen to learn and brings a ‘can do’ approach to our committed team.

Based: We welcome applications from those with the right to work in a CBM Global country, including Indonesia, Nepal, Bangladesh, Laos, Zimbabwe, Kenya, Nigeria, Madagascar. Remote working is welcomed. Ideally, the candidate can work at least part of their working day with overlap with both Australia and Central Europe.

Hours: The role is part time (40%-70%). Exact FTE can be negotiated within budget but would be no less than 0.4FTE and no more than 0.7FTE. The global nature of the role means some flexibility outside ‘traditional’ work hours may be required to accommodate meetings with colleagues and IAG partners in various time zones.

Salary range: The salary offered will be competitive and determined based on skills and experience. We offer a local contract.

Responsibilities and Duties

  1. Coordinating and completing operational aspects of IAG Global teams work, including but not limited to; checking and following up invoices, checking TORs and contracts are aligned with CBM Global processes, managing team workplan.
  2. Leading and coordinating operational support for meetings and workshops – both face to face and online – ensuring their accessibility, and including budgetary aspects and administration
  3. Support coordination and project management of key internal project – including those around monitoring, communications and our community of practice.
  4. Support collation of information for global reporting and communications
  5. Supporting Global team in business development, proposals for funding and cost recovery strategy as requested.
  6. Providing support to accessibility and formatting of documents.

Understands the incident management framework and their first responder role in recording, responding and reporting incidents.

Understands the survivor-centred approach and how to apply it when receiving a complaint or responding to an incident. Knows local support services available in the community or region, and how to engage them.

Skills

Able to listen and accurately document reported concerns and complaints. Able to respect the confidentiality of safeguarding allegations. Able to appropriately apply the survivor-centred approach.

Behaviours

Treats the survivor and others involved in an incident with dignity and respect. Be assertive in implementing the initial incident response protocols by gaining the trust and cooperation of parties involved.

Key outcomes expected from this role

  1. Projects are managed on time and within budget, with any deviations identified early and managed accordingly in collaboration with the project technical lead.
  2. Well organized and accessible meetings, events and reports
  3. High level of engagement and strong working relationships with internal and external stakeholders to deliver IAG projects.
  4. Up to date global team workplan with responsibilities clearly communicated.
  5. IAG Global team is aware of and compliant with CBMG policies.
  6. Global team is supported for administration including travel and finances as requested.

Person Specification

All of the following requirements are essential, unless marked with a * when they are desirable.

Experience

  • Experience managing projects of varying scale and complexity.
  • Experience managing projects in the development or humanitarian context would be an advantage*
  • Experience coordinating and managing external contractors (e.g., for events, accessibility supports, document design etc)
  • Experience in administration and/or project assistant responsibilities
  • Experience or demonstrated understanding of working with and for advisory or consulting services is an advantage*.

Skills/competencies/personal qualities

  • Outstanding written and verbal communication skills, with the ability to inspire and develop the outputs of others and to think strategically, creatively and analytically.
  • Ability to work with, manage and engage multiple stakeholders to meet agreed objectives.
  • Strong relationship management/partnership brokering and collaboration skills. Including the ability to negotiate and resolve conflict.
  • Outstanding attention to detail and the ability to follow tasks and ideas through to completion.
  • Ability to quickly identify and manage risk, deviations from project plans, and do scenario planning to address issues.
  • Strong planning and time management discipline.
  • Experience working on Microsoft 365 platforms, especially Teams and Sharepoint and related products including Planner.
  • High degree of flexibility and adaptability; responsive to changing needs.
  • Commitment to CBM’s mission and values.

Qualifications

  • Qualifications in international development and/or humanitarian programming are an advantage.
  • Project management, administration or business qualifications are also an advantage.
