Role Purpose

Manage the operations of Northern Lights Aid to support residents of the Asimakopoulou Refugee Camp and members of the local community with similar needs, in accordance with the mission, values and budget of Northern Lights Aid. Below is a non-exhaustive list of the responsibilities of the role.

Responsibilities

  • Manage Northern Lights Aid projects and premises
  • Manage the daily operations of NLA in Kavala.
  • Collaborate with the Team Manager and Project Coordinators regarding scheduling, workforce and space and material management.
  • Collect feedback and ideas from project participants and the workforce regarding project suitability, emergent needs and development opportunities and collaborate with the NLA Board to implement changes.
  • Collaborate with the Team Manager and HR manager, regarding volunteer needs and recruitment processes.
  • Ensure the supply and safe storage of materials for projects by collaborating with supporters and the NLA Board and purchasing items as required.
  • Plan and overview the maintenance and administration of NLA spaces.
  • Collaborate with other relevant humanitarian, official and local actors
  • Attend monthly coordination meetings with NGOs supporting refugees in Northern Greece.
  • Represent NLA and develop our participation in relevant networks and partnerships.
  • Remain informed about relevant services offered by other official humanitarian actors and organisations locally and regionally.
  • Care for and develop networks and relationships with the local community, partners and authorities.
  • Manage and develop the Project Management documentation
  • Supervise the field finances of NLA, including cash management and receipt tracking.
  • Create, manage and update administrative documents related to field activities
  • Collaborate with the Communication Manager to overview and manage communication material, ensuring the respect of NLA guidelines.
  • Ensure the storage of documents in accordance with security and GDPR guidelines.
  • Have an understanding of the content of NLA’s founding documents, policies, organisational structure and associated relevant documents and use them when relevent.
  • Supervise coordinators in managing and completing documents related to their respective roles.
  • Collaborate with the NLA Board
  • Participate in monthly Board Meetings, provide a field report, share ideas for project development and report safeguarding issues.
  • Collaborate with different Board Members, regarding matters such as accounting, fundraising, communication and advocacy.
  • Collaborate with the president of NLA Greece regarding legal and administrative matters.
  • Replace and support the Team Manager when necessary.
  • Organise, manage and delegate responsibilities regarding NLA community events.

Required Skills

  • Excellent communication and collaboration skills, including the ability to facilitate diverse groups
  • Politically and culturally sensitive with the ability to act with patience, tact, and diplomacy
  • Excellent organisational and management skills and the a willingness and enthusiasm to take on responsibilities
  • Good time management and ability to meet project deadlines
  • Strong commitment to the values of NLA and to the cause of displaced people and refugees
  • Fluency in English is required and Greek is highly desirable. Farsi, Kurdish, Dari, Arabic, French or Pashto would also be strong assets
  • A valid driving licence is required
  • IT skills, including Microsoft Office

Experience

  • Previous experience working with refugees
  • Professional experience of project management
