THE POST.

Context

Bioforce is looking for a Reception and Public Relations Officer for its Africa entity located in Dakar (Senegal). Your main mission will be to welcome and inform the various audiences of Bioforce Africa and manage related activities.

Activities

Reporting to the communications manager, your missions will be to:

Ensure physical and telephone reception of Bioforce Afrique

  • Welcome, inform and guide all Bioforce Afrique audiences (visitors, suppliers, students, trainers, partners, etc.)
  • Participate in the control of entries and exits in compliance with internal procedures in collaboration with Bioforce Afrique security agents
  • Receive and distribute mail and parcels
  • Process requests for the purpose of user service (messages, lost items, complaints, etc.)
  • Receive and manage incoming calls (information, call routing, taking messages, etc.)

Ensure prospect relations for the entire Bioforce Africa training offer

  • Respond to requests for information from the public by telephone, email and on social networks (standard or personalized emails as needed)
  • Send email and telephone reminders to candidates (application fees, registration fees, cancellation of applications, etc.)
  • Manage registrations for various Bioforce promotional events and occasionally participate in logistics and entertainment
  • In the event of a malfunction reported by prospects, forward the information to the communications officer
  • Identify incorrect information relating to its scope of activity and forward requests for modifications to the communications manager
  • Analyze the types of requests received by email, by telephone, on social networks and pass the information on to the communications manager to improve the information provided in advance to prospects (FAQ, website, brochures, etc.).

Animate the reception area

  • Ensure the cleanliness and friendliness of the reception area
  • Ensure that there is sufficient up-to-date documentation at reception

Ensure ticketing management

  • Book plane tickets for Bioforce Africa (proposals, issue, billing follow-up)
  • Make requests for insurance certificates for travelers
  • Ensure the updating and sharing of travel documents (administrative and security) for Bioforce Africa

DESIRED PROFILE.

Knowledge & Experience

1 year of experience in a similar position.

You know the training environment.

You have a very good command of office tools (Word, Excel, Libre Office) and a good ability to learn how to use management software.

Knowledge of the humanitarian sector would be an asset.

Training

Bac +2 Communication, Commercial Management, Marketing or equivalent.

Qualities

You are rigorous and know how to organize your working time, You have good interpersonal skills and team spirit, You have good listening and communication skills,

You know how to manage your stress.

TERMS.

Integration date ASAP

Status: Non-executive employee. Salary according to profile/salary scale

3-month fixed-term contract – Contract under Senegalese law.

Location Bioforce Africa, Dakar-Senegal.
