Bioforce is looking for its center based in Dakar (Senegal), its Registration Officer for skills training. Your main missions will be to ensure the management of applications, invoicing and contractualization of learners within the framework of skills training organized by the Bioforce Africa Training Center (CFBA) in West Africa and Central Africa.

THE INTERNSHIP.

Context

Bioforce is looking for an intern for its Africa entity located in Dakar (Senegal) to support the management of applications.

Your main missions will be to support the Planning and Recruitment Coordinator in the management of applications for training courses organized by Bioforce Africa, in West and Central Africa and trainers.

Activities

Reporting to the Planning and Recruitment Coordinator, your missions will be to:

TRAINER MANAGEMENT

Support the management of trainer applications:

  • Responding to candidate requests
  • Process each trainer application

Support the administrative management of applicants

  • Transmit information to applicants: integration email,
  • Ensure administrative follow-up and invoices and payments

Support the management of cross-functional aspects related to the recruitment manager role

  • Archiving of applications (pools, rejected)
  • Support in the organization of trainer recruitment committees
  • Support in the organization of trainer training
  • Participate in weekly team meetings
  • Contribute to feedback on training services by collecting information in the database requested by the person in charge

LEARNER MANAGEMENT

Support applicant management:

  • Responding to candidate requests
  • Ensure that payment deadlines are met with candidates and follow up with them (by email and telephone if necessary) if necessary

Support the administrative and financial management of applicants

  • Update administrative and financial documents for skills training (admission letter, etc.)
  • Purchase order management (tracking, receiving, reminders and recording)
  • Transmit information and documents to applicants: admission letter, registration, RIB, payment process
  • Establish proforma invoices

Support the management of cross-functional aspects related to the function:

  • Regularly transmit the list of registrants to the registration officers
  • Inform the communications officer each week of the filling of sessions
  • Request, on a weekly basis, from the Communication department a publication of a training filling alert
  • Ensure compliance monitoring of FCP information on the website and report observations to the Communications department
  • Participate in weekly team meetings
  • Send a monthly summary of past training to the FCP Coordinator
  • Contribute to feedback on training sessions by gathering POP information requested by the person in charge

DESIRED PROFILE.

Knowledge & Experience

At least 2 years of experience in similar positions.

You know the training environment.

You have a very good command of office tools (Word, Excel, Libre Office) and a good ability to learn how to use management software.

Good level of English (written and oral) appreciated.

Having an interest in the humanitarian sector will be an advantage and a source of motivation for you.

Formation

You have a BAC+2 level in Administrative and Financial Management and/or HR.

Qualities

You are organized, rigorous, a good listener and able to make suggestions.

You know how to be patient, educational and you know how to make yourself available.

You have a real team spirit.
