ABOUT THE MISSION

  • SOLIDARITES INTERNATIONAL (SI) has been working in Syria since 2012. The mission employs nearly 300 national staff, and more than 40 expatriates, and has a 28 million EUR budget forecasted for 2023. There are 3 implementing offices in Syria (2 in Northeast Syria/NES, 1 in North West Syria/NWS) with the coordination based in Amman – Jordan. This position is based in Amman, Jordan.
  • The NES programs provide an integrated assistance in the WASH, NFI, Shelter and Livelihoods sectors to displaced populations and host communities affected by the conflict. NWS programs are remotely managed and provide WASH and NFI/Winterization support to affected populations.

TYPE AND CONTENT OF PROGRAM:

  • Syria mission is dedicated to work in challenging context to provide lifesaving activities to the population affected by the conflict. A turn from lifesaving activities to more post-emergency/development has also been undertaken.

MISSION: SIZE, BASES, BUDGET, NUMBER OF EXPATRIATES AND NATIONAL STAFFS:

There are 3 implementing offices in Syria (2 in North East Syria/NES, 1 in North West Syria/NWS) with the coordination based in Amman – Jordan.

The NES programs provide an integrated assistance in the WASH, NFI, Shelter and Livelihoods sectors to displaced populations and host communities affected by the conflict. NWS programs are remotely managed and provide WASH and NFI/Winterization support to affected populations.

ABOUT THE JOB

Responsibilities and main activities:

At the Request of the Country Director:

DONOR REPORTING AND PLANNING

  • Under the supervision of the Grants Coordinator, compile, proofread project follow-up (PFU) tool and write narrative reports especially monthly and interim reports) in coordination with the Project Managers, the Deputy Field Coordinator and the Field Coordinator
  • Ensure hot issues identified during the compilation for reporting are duly transmitted to the Grants Unit
  • Responsible for the launching of monthly reports
  • Responsible for the launching of retroplanning for partners’ inputs in reports
  • Ensure that the documents produced meet donor’s deadlines and quality standards with the Grants Manager
  • In cooperation with the MEAL team, he/she will also be involved in cross-checking data collected in assessment reports and through MEAL systems, and triangulating information used in reports, and ensure that the MEAL reports shared externally meet donor’s quality requirement standards
  • Manage retro-planning, disseminating and tracking deadlines and coordinating partner inputs for reports and other processes, under the supervision of the Grants Coordinator and supporting Grants Manager.
  • Support in ensuring that all annexes due at reporting stage have been request to relevant department and cross-checking information before submission stage to HQ Desk with the Grants Manager
  • Work with the Grants Coo, Grants Manager to improve local team capacity in terms of reporting
  • Updating the mission’s Reporting Follow-up (RFU) and sharing it monthly with the whole mission and the Desk

EXTERNAL REPRESENTATION AND INFORMATION SHARING

  • Maintains an update donor contact list in consultation with the CD and/or DCD/Program Coordinator.Prepare for, attend and minute other meetings as requested, including meetings with external partners/donors
  • Undertake continuous archiving of grant/project documents and facilitate accessibility for all departments
  • Support on briefing materials and presentations for internal and external meetings
  • Produce fact sheets and project overviews as needed, ensuring appropriate branding of SI materials.
  • Review partners’ reports and ensuring that they are aware of reporting requirements

EXTERNAL REPRESENTATION AND INFORMATION SHARING

  • Maintains an update donor contact list in consultation with the CD and/or DCD/Program Coordinator.Prepare for, attend and minute other meetings as requested, including meetings with external partners/donors
  • Undertake continuous archiving of grant/project documents and facilitate accessibility for all departments
  • Support on briefing materials and presentations for internal and external meetings
  • Produce fact sheets and project overviews as needed, ensuring appropriate branding of SI materials.
  • Review partners’ reports and ensuring that they are aware of reporting requirements

COORDINATION AND COMMUNICATION

  • Attend internal coordination meetings, draft meeting minutes and ensure distribution to the team members.
  • Support a fluid communication flow on reporting and programmatic inputs from the bases between the Grants department and the Bases.

INTERNAL AND EXTERNAL COMPLIANCE

  • Monitors communication and visibility compliance in line with commitments to donors with the CD Assistant
  • Ensure the proper archiving of Source of Verification
  • Support in audit request for grants document and source of verifications documents
  • Undertakes continuous archiving of grant/project documents at mission level.
  • Regular update of the partners’ tracking table and follow-up of the respect by the partners of the terms of their sub-award agreement

SUPPORT ON PROJECT PROPOSALS

  • Support on annexes during proposal making and proofreading and drafting of sections of proposals in conjunction with the Grant Coo, Grant Manager and the Project Managers.
  • Participates in the kick-off meetings for project proposal at coordination level
  • Responsible for archiving and forwarding the final submitted versions of proposals, requests for amendment and reports to the Mission

YOUR PROFILE

Specific skills and experience:

  • Minimum 1 year of experience working in the development of projects and relationships with donors in the humanitarian/development sector
  • Experience developing proposals with rigorous requirements and tight deadlines;
  • Ability to work independently and meet deadlines with minimal supervision.
  • Excellent organizational skills: the ability to multi-task, learn quickly, and work independently in a fast-paced environment.
  • Excellent interpersonal and communication skills: the ability to effectively liaise with a variety of people in a multi-cultural environment and across various time zones
  • Demonstrated attention to detail and ability to follow procedures, meet deadlines and work both independently and cooperatively with team members
  • Prior experience in Middle East an asset. Knowledge of the Syrian context
  • To speak Levantine Arabic and/or French would be an asset
  • Excellent English skills (written, spoken and read) is mandatory
  • Prior SI ‘s experience would be an asset

Management

The role will be managed by the Grant Coordinator and will be part of the Grants Unit within coordination program team.

SI WILL OFFER YOU

A salaried post:
According to experience, starting from 1980 euros gross per month (1800 base salary + 10% annual leave allowance paid monthly) and a monthly Per Diem of 700 USD

SI also covers accommodation costs and travel expenses between the expatriate’s country of origin and the place of assignment.

Vacation: During the assignment, a system of alternation between work and time off is implemented at the rate of on 7 working days every three months. For a one-year assignment, the expatriate will have a 7 working days break at 3/6 and 9 month.

To these break periods, it is necessary to add the granting of 1 additional rest day per month worked > i.e. 12 days in addition for a 1-year contract.

Social and medical cover:
Expatriates benefit from an insurance package which reimburses all healthcare expenses (including medical and surgical expenses, dental care and ophthalmological expenses, repatriation) and a welfare system including war risks. Essential vaccination and antimalarial treatment costs are refunded.

LIVING CONDITIONS:

Living conditions in Amman are very good with access to a wide range of restaurants, cafes. Most products (food, clothing…) are easily accessible in Amman.

The perdiem rate for Amman is 785 USD a month
