R&P Team Program Manager At International Rescue Committee

Scope

The R&P Team Program Manager’s primary responsibilities focus on data tracking, desk monitoring, logistical, and information management tasks. The R&P Team Program Manager works in close collaboration with the IRC headquarters Reception and Placement team as well as other Resettlement team members. The position reports to the Reception and Placement Senior Program Officer.

Essential Job Functions

1. Programmatic Monitoring

· Serve as a support monitor under supervision from a lead monitor, support pre-monitoring, onsite, and post-monitoring activities,

· Prepare desk monitoring reports by conducting case file review, analyzing findings, and developing recommendations.

· Support preparations for PRM monitoring of IRC HQ and field offices.

  • Provide support to other monitoring activities as needed for the resettlement team

2. Proposal Development and Donor Reporting

· Support R&P proposal development by gathering data, drafting and editing annual proposal materials.

· Support R&P program officers with gathering data, drafting, editing, and uploading quarterly, semi-annual, and annual reports to funders using various required systems

· Assist with review and reconciliation of client financial expenditures with R&P Budget officer

· Provide support and coverage of R&P period reports and minor reports review and submission

3. Information Management

  • Liaise with field offices and regional directors to ensure timely and complete submissions of quarterly consultation reports.
  • Manage retention of documents and correspondence on network drives for record keeping and donor monitoring.
  • Lead information management projects such as updates to intranet pages (RescueNet) to ensure information is organized and up-to-date.
  • At direction of program officers, respond to inquiries from the field in resettlement inbox and/or refer to program officer for response.

4. Logistical Support

  • Manage logistics of the Annual Resettlement Conference, including budget and expenses to prevent under/overspending.
  • Schedule and provide logistical support for meetings and trainings.
  • Manage provision of cross-program emergency funding, as needed.
  • Perform various administration functions:
  • Other duties, as assigned, in support of the Resettlement team.

Requirements

· Bachelor’s degree required;

· Minimum two to three years non-profit experience, preferably with experience in the U.S. refugee admissions program (USRAP);

· High proficiency with Microsoft Excel;

· Experience with IRIS and ETO program management or similar data systems preferred;

· Ability to work independently and as a team member in a diverse, fast-paced environment.

· Excellent written and oral communication skills: the ability to communicate effectively with colleagues and partners and to draft and edit memos, letters, reports and proposals;

· Solid organizational skills with the ability to juggle multiple tasks, set priorities, effectively manage time, and meet deadlines;

· The ability to work independently and productively in a fast-paced environment – initiative to problem solve within the job parameters is essential;
