Senior Coordinator, Humanitarian Program Portfolio At Save the Children – US

Summary

The Senior Coordinator, Humanitarian Program Portfolio provides strategic support to the Department of Humanitarian Response’s (DHR) award portfolio from opportunity to closeout and helps ensure that DHR award records are properly maintained in Save the Children’s Award Management System (AMS), including data entry and workflow processing. You will provide more in-depth support to a priority portfolio of countries, including support to proposal development activities, project start-up, agreement processing, reporting, and project pre-closeout. You will also perform portfolio data analysis and reporting for DHR and will be responsible for tracking and analyzing KPI performance, and will serve a key information management role for the team, contributing to continuous improvement initiatives for the division.

What You’ll Be Doing (Essential Duties)

Award Management Support: 50%

Award Processing and System Data Quality

  • Ensure data integrity for AMS records by performing regular review of portfolio data for completeness and required supporting documentation
  • Ensure assigned AMS workflows are completed in a timely and accurate manner in support of efficient processing of awards, liaising with the Humanitarian Finance and Compliance and Grants & Contracts units as necessary
  • Monitor Key Performance Indicators (KPIs) for DHR awards team, support related award management processes, and advise on needed areas of improvement
    • Follow up to ensure Fund Summaries are activated on-time
    • Monitor the monthly reporting process and follow up on any outstanding submissions
    • On-time closeout and closeout backlog reports
  • Support with Agresso data integrity (where relevant)

Priority Portfolio Support

  • Provide additional support to a portfolio of priority awards as needed, including
    • Proposal development support
    • Agreement Approval
  • Review agreement terms, Enter required agreement data into AMS, and ensure timely approval
    • Project Kick-Off
  • Prepare project kick-off materials and circulate meeting notes with action items
    • Award Monitoring Calls
    • Attend award monitoring calls facilitated by DHR Sr./Specialists and circulate notes with action items
    • Donor Reporting (Narrative)
  • Support review of quarterly and final narrative donor reports generated by CO and circulate for additional input as necessary, ensuring that reports are finalized in a timely manner and ready for submission to donors
  • Support with submission of reports to donor.
  • Serve as the primary point of contact for specific awards as requested

Project Closeout

  • Support DHR Finance & Compliance team in the review of AMS records for completeness and compliance, to help ensure that awards in AMS are closed/deactivated on time

Proposal Development: 30%

  • Support the development and review of concept notes and proposals, as requested
  • Support preparation of proposal annexes
  • Support with donor readiness checks of proposal documents
  • Obtain required signatures and approvals for proposal documents
  • Support the department/agency to maintain information and knowledge management systems for business development (ensuring documents are posted on AMS as applicable, maintaining guidance libraries, documenting lessons learned, etc.)

Knowledge Management and Data Analysis: 20%

  • Support all donor accounts in developing and maintaining dashboards by reviewing agency data sources to ensure accurate portfolio reporting of new raise
  • Ensure monthly production of a portfolio update for the Humanitarian Business Team (HBT), and suggest improvements in HBT data analysis and visualization as appropriate
  • Analyze DHR performance on award management KPIs in an effort to identify root causes and inform reporting to the agency leadership
  • Maintain department information management systems for award records and portfolio data, ensure regular checks for consistency
  • Respond to ad hoc requests for tailored data analysis in support of specific meetings, presentations, etc.
  • Support the design, finalization and roll out of SOPs and other guidance materials

Required Qualifications

  • Minimum of a High School diploma or equivalent, plus at least 3 years of relevant experience
  • Professional proficiency in MS Office Suite. Preferred Excel and PowerPoint power user
  • Experience in data management and information technology systems
  • Demonstrated organizational skills and attention to detail
  • Ability to handle multiple tasks and ensure timely completion of short- and long-term projects
  • Ability to adapt to changing environment and workload
  • Ability to work under pressure and prioritize accordingly
  • Professional proficiency in spoken and written English
  • Proven ability to communicate and collaborate with individuals and teams at all levels
  • Willingness and ability to travel up to 10% to Save the Children country offices to provide award or proposal support as necessary.
  • Demonstrated commitment to fostering an environment of diversity, inclusion, and belonging

Preferred Qualifications

  • Ability to speak a second, relevant language (French strongly preferred).
  • General knowledge of key humanitarian donors (BPRM, OFDA, UNHCR, and WFP).
