Job Title: Senior Finance Assistant

Division: Corporate Affairs

Position Location:Jakarta, Indonesia.

Reporting to: Finance Manager/ADR

Supervising: N/A

Duration: One year with possible extension.

Vacancy Closing: 15th March 2023 at 11:45 pm Jakarta time.

Broad Statement of Function

  1. Support Finance Unit in daily utilisation of ERP System (Microsoft Dynamics Business Central);
  2. Support Finance Unit in cash and bank transactions;
  3. Provide and carry out activities pertaining to day-to-day function in line with financial rules and regulations of the AHA Centre and/or partners’ guidelines;
  4. Support Finance Unit;
  5. Carry out any other duties as tasked by the Finance manager / ADR.

Primary Responsibilities

  1. Support Finance Unit in daily utilisation of ERP System (Microsoft Dynamics Business Central)
  2. General transactions such as payment, cash and banking transactions, and journals;
  3. Provide clarification and some training on the ERP enquiries to other staff members;
  4. Audit System in ERP to ensure the accuracy of figure in the finance module;
  5. Other related areas/functions.
  6. Support Finance Unit in cash and bank transactions (as backup)
  7. Prepare and Review bank transfer instructions for all payments through the electronic banking process;
  8. Perform cash deposits and withdrawals;
  9. Administer petty cash;
  10. Liaise with the bank for payment instructions, foreign exchange dealings, the status of transfers (incoming and outgoing transfers) and other banking-related matters;
  11. Ensure that the correct authorisation level for cash and banking processing is attained;
  12. Ensure that the cash and bank books are updated daily;
  13. Perform cash count and cash reconciliation at the end of each week;
  14. Prepare monthly bank reconciliation reports.
  15. Provide and carry out activities pertaining to day-to-day function in line with financial rules and regulations of the AHA Centre and/or partners’ guidelines
  16. Carry out financial policies & procedures and accounting practices in line with the finance & administrative rules and procedures as adopted by the AHA Centre and/or partners;
  17. Ensure that all financial procedures follow principles of good governance while ensuring speedy delivery of services in the context of an emergency operations organisation;
  18. Responsible for inputting banking transactions into a computerised finance management system and ensuring its accuracy and timeliness;
  19. Ensure all cash and banking transactions carry the appropriate level of supporting documentation;
  20. Compile source and supporting documents for all transactions;
  21. Ensure hard copies and soft copies of financial data are adequately filled and computer data is backed up weekly;
  22. Sharing finance information with other finance colleagues.
  23. Support Finance Unit
  24. Prepare receipt and invoice;
  25. Update receipt and invoice listing;
  26. Assist Finance Officers in preparing accounting vouchers when requested;
  27. Provide support to Finance Unit on the daily implementation of Ms Business Central;
  28. Provide support during year-end closing and project closing by printing/copying and checking supporting documents;
  29. Provide support during the audit;
  30. Assist Finance Manager in monitoring the implementation of the AHA centre Funds and/or Project Funds and managing financial resources from Partners;
  31. Support AHA Centre emergency response operations, including field deployment and/or staffing the Emergency Operations Centre (EOC).
  32. Carry out any other duties as tasked by the line manager.

Job Qualification

Education

  • Minimum Bachelor’s Degree in one or more of the following disciplines: Finance and/or Accounting or relevant subjects.

Experience

  • At least three (3) years of experience with a proven track record as an accounting, ERP and finance assistant and sound exposure to ERP systems;
  • Must have experience working at least four (4) years with the Microsoft Dynamics Business Central software or Similar in a government, int’l organisation sector;
  • Require advanced Microsoft Excel skills to analyse and process data and data analysis for bank reconciliation with all the excel formulas and logic in accounting concepts;
  • Exposure to relevant activities dealing with various international organisations, related institutions and/or inter-governance sectors;
  • Must be able to communicate in English.

  3. Sound computer skills, including the ability to operate spreadsheets and word processing.
  4. Exposure to disaster emergency response operations;
  5. Good regional and international awareness of developments in disaster management is an advantage;
  6. Good command of oral and written English;
  7. Good communication skills.
