Position Title : Sr. Project and Knowledge Management Associate

Duty Station : IOM Philippines – Country Office (Legazpi)

Classification : General Service Staff, Grade G-6

Type of Appointment : Fixed term, one year with possibility of extension

Under the overall and administrative supervision of the Head of Sub Office in Legazpi with technical guidance from the Knowledge Management Office in IOM HQ and in close collaboration with the National Officers in IOM Legazpi and Manila, the Head of Programmes in IOM Manila, project management teams in Geneva, Switzerland and Washington DC, USA and the Innovation and Knowledge Management Unit (HQ). The successful candidate will provide essential project coordination, knowledge management, evaluation and monitoring and reporting support to facilitate the smooth day-to-day operations of Innovation Norway-funded projects in the field.

Responsibilities:

  • Provide dedicated and multi-pronged project coordination support for various activities (needs assessment, market dialogue, piloting of solutions, etc.) to field teams and national officers in Bicol, and in close coordination with the project management teams in Geneva and Washington DC.
  • Assist in the monitoring and evaluation, data collection, case study, photography and story content creation and documentation of good practices and lessons learned across innovation projects in the field, which may include managing and maintaining the knowledge base for IOM Innovation Norway projects using appropriate tools and mechanisms.
  • Support in preparing high-quality progress reports, case studies, and donor briefs, presentations and reports. Maintain timely and transparent communication with Innovation Norway and the IOM Project Advisory Board, highlighting achievements, challenges, and proposed solutions.
  • Facilitate systematic exchange of good practices and lessons learned within the mission, and across IOM and the broader humanitarian community in collaboration with the Innovation and Knowledge Management Unit in Geneva.
  • Support, as required, field visits for the implementation of activities to monitor progress, evaluate outcomes, and identify opportunities for adaptive management and course correction.
  • Assist in collaborating with the local government, private sector partners, local and diaspora communities to implement innovative solutions in waste management, microfinance, and land rights.
  • In coordination with the RMO, support the procurement related tasks which include but not limited to Requests for Quotations, Purchase Requisitions, Evaluation Form Summaries; receipt of quotations, bids or proposals, making arrangements for certain conditions of contracts in full compliance with IOM rules and regulations.
  • Support any tasks related to PRIMA project management, monitoring and reporting.
  • Support as required, any conferences, events or workshops to be hosted by the mission on any of the Innovation Norway related projects. This may include, but is not limited to, facilitating note verbals, booking conference rooms, transport and hotel accommodation for external partners, printing of visibility materials, or other conference or workshop related tasks as necessary.
  • Perform any other tasks, as necessary.

Qualifications

Education

  • University degree in Social Sciences, International Development, Economics, Communications and any other related fields, with four years of relevant professional experience
  • Completed High School degree from an accredited academic institution, with six years of relevant professional experience.

Experience

  • Demonstrated experience in project management, reporting, knowledge management and M&E.
  • Experience and ability to analyse and interpret source information and data.
  • Experience in working independently while maintaining harmonious working relationships with business counterparts.
  • Ability to maintain strong relationships with internal and external stakeholders across multiple projects with different priorities.
  • Experience working in the UN and/or humanitarian context is a strong advantage.

Skills

  • Ability to meet deadlines and manage multiple, complex tasks simultaneously.
  • Stakeholder engagement with UN agencies, private sector partners, Government and local communities.
  • Strong reporting skills with ability to communicate complex activities in a clear manner.
  • Strong presentation skills with ability to communicate to a range of audiences.
  • Knowledge of IOM/UN regulations, policies and procedures is a strong advantage.
  • Demonstrated IT proficiency with Microsoft Office applications, including Word, Excel, Teams and PowerPoint.
  • Knowledge of graphic design such as Adobe Suite is an advantage.

Languages

  • Fluency in English and Filipino (oral and written)
