THE POST

Purpose of the position:

Under the direct supervision of the Supply Chain Team Leader, the Supply Chain Assistant is responsible for providing support to the operational teams in logistics and procurement in the Djohong and Meiganga offices.

TASKS AND RESPONSIBILITIES

The Supply Chain Assistant will be responsible for:

  • Procurement management :
    • Evaluate the logistical (support) needs of the Djohong and Meiganga offices and develop purchasing documents leading to the placing of orders;
    • Participate in the evaluation of offers for the supply of goods and services (support) to be delivered to the Djohong and Meiganga offices;
    • Track orders and ensure receipt of goods and services at the sub-base level and ensure jointly with the requester that the items conform to technical specifications and quantities.
  • Equipment management :
    • Verify that all goods, old and new, are correctly recorded, labeled and listed in the inventory of the djohong and meiganga offices;
    • Carry out physical inspection of goods;
    • Ensure the proper use of the organization’s assets at the Djohong and Meiganga offices.
    • Update area property database
    • Physical and electronic archiving of documents
  • Inventory management :
    • Supervise deliveries and shipments to and from DRC warehouses and prepare necessary documents;
    • Management of stocks present at the base level and in close collaboration with program staff, participate in replenishment requests.
    • Carry out stock inventories in accordance with DRC procedures
    • Identify storage spaces when the need is indicated in accordance with DRC procedures
    • Physical and electronic archiving of documents
  • Premises management: execution / validation / supervision :
    • Ensure the maintenance of the organization’s premises and guest houses in accordance with the standards defined by DRC;
    • Ensure that DRC premises and guest houses comply with the standards established by the organization in terms of premises security.
  • Fleet / generator management :
    • Carry out regular monitoring of the operating status of vehicles and generators (daily check) and report maintenance needs to the Supply Chain Team Leader.
    • Ensure the availability of safety and first aid equipment in the vehicles used by the DRC teams (DRC fleet and rented vehicles) at the Djohong and Meiganga offices;
    • Ensure that vehicle and generator tracking records (logbooks) are updated daily and prepare usage and fuel consumption reports on a monthly basis;
  • Manage the fleet and generators as needed (local maintenance operations);
  • Develop weekly movement schedules and manage all inter-office travel.
  • Others :
  • Participate in the development of monthly logistics reports as defined in the DRC operations manual.

KEY REQUIREMENTS

Technical experience and skills:

  • Level of study: Bac+2 minimum, university degree in logistics and/or supply chain management or an equivalent diploma;
  • Experience: At least two (02) years of relevant professional experience;
  • Experience in managing administrative tasks, including filing systems;
  • Excellent IT skills (Office Pack), experience operating an “ERP” supply chain system would be appreciated;
  • Experience in supply chain management, including purchasing/transport/warehouse and inventory management/distribution functions;
  • Basic knowledge of automobile mechanics and electrical installations;
  • Excellent command of the French language and good writing skills;
  • Fluency in English is an asset;
