Context & Mission

The support to the Field HR Admin Manager provides support to the Field ADM team for all tasks related to the day-to-day administrative management of expatriate staff, particularly during the engagement or exit phases, during which the international staff is under contract.

He works with the HR Field Movements Officer regarding the coordination and anticipation of departures.

Main responsibilities

Scaling

  • Update/develop the content of the section dedicated to the administration and HR management of personnel within their area of ​​expertise
  • Ensure the coordination of the various departments concerned on the policies and tools and training available (Field HR Tools and Policies Unit, Operational HR Managers, Learning & Development, recruitment, etc.) so that the documents are updated and fit into the proposed structure of a single HR guideline bringing together all the documentation necessary for field HR users and managers.
  • Ensure that each sheet is available in English and French.

Administrative file of international staff

  • Implement the appropriate digital solution validated within the organization.
  • Coordinate the architecture and updating of content for other HR department services in sections related to their field (recruitment, Learning & Development, etc.)
  • Ensures that documents are available in French and English in the tool.
  • Coordinate with the specific departments involved to ensure the solution meets the requirements of update agility and ease of navigation for users.

Contract + admin doc for departure/during the mission/return from mission

  • In connection with the policies and expertise required (HR administration and personnel management), the person in charge of the project supports the unit’s field HR policy and administration officer and the Learning & Development department in developing training content and a training module for HR mission users (ongoing project: Disciplinary training, for HR users and mission managers)

Swiss law & legislation + irp2 rules

  • Keeps up to date with labor legislation.
  • Ensures administrative follow-up of exceptions
  • Ensures that IRP II and IRP I protection rules are followed
  • Ensures compliance with Swiss Law of Obligations, social legislation and communicates on administrative issues

Profile sought

Education

  • Maturity level, CFC commercial/administration employee (accounting, management assistant).

Experience

  • Experience in HR administration required a plus
  • Knowledge of the international humanitarian environment or other NGOs

Technical Skills

  • MSF Knowledge
  • Human resources administration (insurance, personnel administration) a plus
  • Labor law (payroll management) a plus
  • Proficiency in common IT tools.

LANGUAGES

  • Fluent in French and English
  • Other language an asset

Personal qualities

  • Interest in the humanitarian environment, versatility, rigor, responsiveness, initiative, team spirit, interpersonal skills, diplomacy, autonomy

Working conditions

  • 100% full-time position (40 hours/week)
  • 10-month fixed-term contract
  • Work location: Geneva
  • Ideal start date: 03.03.2025
  • Gross monthly salary (at 100%): from CHF 6,671 to CHF 8,022 (salary based on equivalent experience and the internal salary scale).
  • Paid vacation: 25 days per year, pro rata temporis, plus Swiss public holidays falling during the term of the contract.
  • Pension fund: contribution to the pension fund (2nd pillar-BVG) covered 3/4 by MSF and 1/4 by the employee.
  • Relocation assistance when moving from another country to Switzerland.
