Support Officer: People At Frontline AIDS

GENERAL HR ADMINISTRATION

• Maintain and update PeopleHR to ensure that all information is accurate and up to date., including starters, leavers, contract changes, salary changes, immigration requirements and records of training, • Support with producing monthly management reports • Manage the HR general email inbox and forward emails where appropriate to other members of the HR team • Maintain the online employee filing and archiving systems ensuring they conform to data protection laws. • Alongside the Advisor: HR, help with the administration around general contractual changes and coordination of new starter inductions. • Regularly review HR processes and adapt as appropriate. • Where required, take minutes at Union meetings and the People and Reward Committee • Update SharePoint with any relevant HR information to be shared with the organisation. • Be the HR Champion for new ICT systems. • Other HR Administration tasks as reasonably requested.

FINANCE/BUDGET ADMINISTRATION

• Prepare the monthly payroll for checking by the Advisor or Lead: People • Produce a monthly establishment report for Finance • Manage the setup of HR services on Salesforce and payment of invoices through Business Central

RECRUITMENT ADMINISTRATION

• Work with recruiting managers to advertise vacancies and consultant contracts • Support recruiting managers with the overall recruitment process • Manage the pre-employment checks including references and DBS checks • Issue contracts and other starter paperwork required. • Support with visa or immigration requirements and relocation coordination (where appropriate).

PROJECT SUPPORT

• Support the Head, Lead and Advisor People in any relevant project work which links to the People Strategy.
