Under the overall supervision of the FAP Senior Programme Coordinator and direct supervision of the National Project Officer (FAP), the successful candidate will be responsible for supporting the day-to-day management of the FAP Unit and its staff.
Core Functions / Responsibilities:
- Under the supervision of the National Project Officer (FAP), coordinate, budget, implement, monitor and assess all aspects of the project.
- Supervise and build capacity of the FAP Migrant Service Assistants and of the Project Assistant (Quality Control Monitoring) and the Project Assistant (German Speaker) in order to implement operations efficiently and effectively. Prepare correspondence on legalization with other FAP Offices, follow-up and direct of Security Team, procurement and maintenance in coordination with Country Office.
- Ensure that all conditions of the project proposal signed between IOM and the German government are respected by the staff, also take responsibility for the day to day running of the FAP and of the FAP set-up, which will include supervising applicable refurbishment, providing logistical/administrative support, assist in preparing appropriate paperwork SOP’s and templates for the Project Team, and any other reasonable requests relating to the establishment of the FAP.

For the purpose of the vacancy, internal candidates are considered as first-tier candidates. - Oversee the implementation of operations related to Family reunification and resettlement, regularly make suggestions on how to improve efficiency and effectiveness and bring problems or issues to the attention of the Officer in a timely manner. Ensure data accuracy for all records and assist reporting these periodically in a timely manner asper donor requirement; maintain a high degree of skill in using IOM internal software platforms.
- Oversee the organization and/or scheduling of appointments, including, as assigned, the creation of ad hoc reports, the creation and updating of schedules, the issuance of notifications and the confirmation of appointments, interpretation services and/or the completion of logistical duties related to circuit rides. Liaise with all units being serviced by scheduling team members to ensure open communication and satisfaction with scheduling activities.
- Assist with the reporting and data-management of the FAP project preparing statistical andt hematic reports. Inform management of any problems or issues immediately and regularly. Make suggestions on how to improve efficiency and service.
- Take active steps to mitigate fraud and malfeasance, and to monitor the integrity of records containing individual data. impartial and unbiased during all interactions with migrants and colleagues per the IOM Code of Conduct and instruction on the Prevention of Sexual Exploitation and Abuse (PSEA).
- Perform other duties as may be assigned.
Required Qualifications and Experience
Education
- University degree or equivalent in Business Management, Client Services, Social Science or a related field with five years of relevant experience; or,
- High school diploma with seven years of relevant experience.
Experience
- Minimum five years of relevant professional experience in a similar setting & capacity; supervisory experience;
- Demonstrated ability to maintain accuracy & confidentiality in performing responsibilities;
- Demonstrated proficiency with Microsoft Office applications, including Excel, PowerPoint;
- Good knowledge of information technology and proficiency in Microsoft Office applications especially Excel, Word, PowerPoint, and Publisher.
- Previous work experience in international organizations and service industry companies would be an advantage.
- Strong interpersonal & intercultural skills with an attention to detail.
Languages
Fluency in English and Arabic is required (oral and written).
