Volunteer Engagement Specialist At Medical Teams International

This position contributes to the mission of Medical Team International by being responsible for growing and managing volunteer capacity for US Programs (USP). The Volunteer Engagement Specialist will have primary responsibility for the development, management and cultivation of USP volunteers, including systems and processes, relationship management, compliance, recruitment and recognition. The role includes collaboration with HR and Marketing around recruitment, tracking and managing volunteer data, assigning volunteers to teams, communications with volunteers, and creating and implementing a volunteer retention and recognition program to support the staffing needs of the US Programs Department. This role collaborates with USP Leadership, both Care & Connect and Response Program Managers, HRBP, and Talent Team.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Recruitment & Retention:

  • Analyze and project programs need of volunteers.
  • Develop a USP volunteer recruitment strategy in collaboration with USP Managers and HR Talent Team.
  • Match the abilities and interests of volunteers to an assignment which will provide the best experience possible.
  • Place volunteers on teams appropriately according to geography, interest, service level, certifications, and licenses.
  • Cultivate partnerships with healthcare associations, churches and community organizations in an effort to recruit volunteers and create awareness of volunteer opportunities.
  • Lead coordination of and actively recruit volunteers at selected professional forums, conferences, and volunteer orientations.
  • Build quantitative model for matching volunteer capacity to clinic needs and identify strategies to fill gaps.
  • Develop and improve systems that provide self-service scheduling options for volunteers.
  • Meet recruitment goals.
  • Develop and manage the volunteer recognition program.
  • Engage with current and potential volunteer groups at outside events to promote the mission and engage and cultivate volunteers.

Training:

  • Develop and manage all volunteer orientation processes.
  • Train USP staff on managing and utilizing volunteers.
  • Initiate regular recruitment meetings with program staff focused solely on recruitment and scheduling of volunteers.
  • Create, plan, and implement USP volunteer orientation programs, specific to providers or clinic types.

Administrative:

  • Manage the volunteer registration process/system to ensure the best user experience and accurate data collection.
  • Develop and manage a process to identify, recruit, pre-screen, update commitments and track volunteer candidates and credentials to meet the identified needs of USP.
  • Manage compliance i.e. background checks, vaccination or testing status, PSEA.
  • Manage volunteer database.
  • Work with other Medical Teams staff to ensure that all volunteer data is collected and reported in an efficient and effective manner.
  • Design, implement and track data for volunteer satisfaction surveys.
  • Work with Marketing web site business owners and the IS team to ensure that on-line application process is user-friendly and effective.
  • Collaborate with Billing Specialist to encourage and track Medicaid credentialing.
  • Build a plan to obtain standing commitments from volunteers, as feasible, in order to recruit and plan for volunteers in advance.
  • Support Business Services Manager in developing and tracking volunteer budget and expenses.
  • Coordinate background check processing for volunteers with HR coordinators.
  • Ensure that volunteer application data entry is complete, accurate and annually updated.
  • Manage the timely processing of volunteer applications.
  • Oversee the compilation and distribution of volunteer follow-up.

Reports:

  • Prepare and submit regular statistical reports on volunteer participation, recruitment, satisfaction surveys and volunteer activities.
  • Develop and provide monthly and quarterly KPI reports with volunteer metrics, including one representative KPI for the enterprise dashboard.
  • Develop volunteer staffing projections to meet the USP triple goal.

Communications:

  • Maintain direct and indirect contact with all USP volunteers including regular communications whether digital or print.
  • Provide clear information on current volunteer opportunities via the website and other channels, and to those who are involved in volunteer recruitment activities.
  • Provide excellent customer service in all contacts with volunteers, donors, and staff.
  • Work with other MTI staff to prepare reports, brochures, or press releases.
  • Work with Marketing and other staff to update volunteer recruitment tools.
  • Coordinate volunteer assignments and ensure that proper training, supervision, and orientation are made available.
  • Manage communications with all volunteer candidates so that candidates receive prompt responses to status and application inquiries including other miscellaneous inquiries.
  • Communicate to staff about volunteer pipeline status.

Volunteer Recognition:

  • Evaluate and develop approach for incenting/rewarding regular volunteers.
  • Work with other Medical Teams staff to provide leadership to ensure that regular and significant recognition is given for volunteer efforts.
  • Develop and implement annual volunteer recognition events.

Other Duties:

  • Utilize volunteers when appropriate.
  • Additional duties as assigned.
  • Support safeguarding of program participants and employees through promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation & Abuse, Child & Vulnerable Adult protection, and harassment-free workplace policies.

EDUCATION, LICENSES, & CERTIFICATIONS

  • Bachelors degree or relevant experience

EXPERIENCE

  • Experience working on cross functional teams to achieve mutual goals and objectives.
  • Proven recruitment and scheduling experience with volunteers.
  • Prefer four years successful volunteer management experience.
  • Minimum 3 years experience working in a non-profit organization.

KNOWLEDGE, SKILLS & ABILITIES

Knowledge:

  • Knowledge of healthcare standards and multiple service providers scope of service.
  • Basic understanding of US healthcare systems, especially the US safety net system.
  • Basic understanding of Medicare and Medicaid credentialing requirements.

Skills:

  • Skilled with office software: Microsoft Word, Excel, and PowerPoint.
  • Skilled with communication software: Outlook, Internet, Teams, CRM (or other database programs).
  • Excellent oral and written communication skills in English.
  • Excellent customer service.

Abilities:

  • Ability to work flexible schedule and weekends as needed.
  • Ability and willingness to travel for presentations and convenings of professional organizations.
  • Ability to handle multiple projects simultaneously; flexibility.
  • Ability to operate well in a fast-paced work environment with considerable ongoing change.
