France – Work-Study Program: Archivist Assistant (M/F) – Clichy At International Solidarity

Location : At the headquarters of SOLIDARITES INTERNATIONAL in Clichy, 92.

Your role will be based at SOLIDARITÉS INTERNATIONAL’s headquarters. You will assist the association’s Stock, Transport & Customs (STD) representative in the specific area of archives management and thus participate in various internal missions and external accountability objectives of the organization.

Integrated into the Supply Chain department of the NGO’s Logistics and Information Systems (LSI) department, you will collaborate with Solidarités International’s various departments and countries of intervention. You will support its work through efficient documentation management, which is necessary to effectively meet the internal and external requirements of our various departments. The department is involved in many exciting internal projects that will allow you to discover the current challenges of humanitarian aid and its intense developments.

Previous experience in the humanitarian field is not necessary.

Main objectives of the work-study program:

  • Contribute to the effectiveness of the NGO’s operations in terms of archive management
  • Discovery, analysis and improvement of Solidarités International’s archiving procedures
  • Development of tools and training modules on archive flow management
  • Supporting the digital transition of paper archiving
  • Assist the Stock, Transport & Customs representative with the tasks required to monitor compliance and with the implementation of the department’s projects
  • Ensure the link and circulation of information between the different interlocutors (desk, headquarters, field)

Main tasks:

  • Support the development and dissemination of tools dedicated to efficient management of archive flows
  • Participate in discussions with the field on the management of archive flows
  • With the logistics department, receive field archives arriving at the NGO headquarters
  • Check the conformity of the archives received and provide feedback to the mission on any issues encountered
  • Ensure handling, assistance with unloading delivery trucks, as well as boxing and labeling of received archives
  • Organize and tidy the storage space dedicated to archives
  • Update and optimize databases: recording movements of boxes in stock, integration of new archives, etc.
  • Communications with the external storage provider when ordering archives or outsourcing and destruction needs
  • Contribute to responding to external audits and other accountability requirements by making necessary records available when required
  • Participate in the development of specific archiving training with a view to accountability
  • Participate in employee briefings on internal archiving standards
  • Assist the Stock, Transport & Customs representative on site Archives of the service

Contributions of work-study:

  • Practice of physical and digital archiving techniques (stock and database management, historical archives, etc.)
  • Development of project management skills on the digital transition
  • Discover how an NGO headquarters works and the relationships between headquarters and the field
  • Discover the different humanitarian professions and have an initial approach to how a mission works
  • Understand the accountability issues of an NGO and actively participate in them
  • Direct contact with the field
  • Mastery of internal procedures
  • Development of autonomy and expertise on archiving practices.

IF YOU WILL OFFER THE FOLLOWING CONDITIONS

  • Alternation based at the headquarters of SOLIDARITES INTERNATIONAL in Clichy (92), Mairie de Clichy metro station
  • Work-study apprenticeship contract, from 12 to 24 months
  • Remuneration according to current regulations
  • Public transport covered 50% by SOLIDARITES INTERNATIONAL
  • Meal vouchers at €8.90/day of work-study, with 60% participation from SOLIDARITES INTERNATIONAL
  • Leave: 2.0833 CP/month
  • Training or experience in archives and documentary resources professions (DUT, professional license, etc.) preferred
  • Training or experience in logistics and more specifically inventory management appreciated
  • Physical ability to manually handle loads
  • Writing and summarizing skills, in French and English
  • Proficiency in common office tools: Office (Word, Excel, Power Point), Internet and email (Outlook)
  • Ability to plan and implement and follow procedures
  • Rigor and organizational skills
  • Team spirit and interpersonal skills
  • Autonomy and proactivity
  • Sensitivity to the non-profit and humanitarian sector appreciated.
