How can you make a difference? Key functions / Responsibilities

The branch’s administration and logistics assistant will have the main responsibility of providing support in the registration and preparation of documentation (supporting documents) of accounting information for projects or areas assigned to them.

He/She will be in charge of:

  • Perform monthly reconciliations.
  • To support in all procedures inherent to the position.
  • Verify compliance with legal requirements at the time of registering the invoice.
  • Register the legalization of advances.
  • Support in the preparation of internal reports and those addressed to external stakeholders.
  • Manage the warehouse linked to the project, ensuring the registration, safekeeping and release of supplies in accordance with institutional regulations and the guidelines of the logistics area.
  • Contribute to the updating of inventories of fixed assets at CRV facilities and consumable goods, as well as materials and supplies used in programmatic activities;
  • Manage the proper maintenance of assets owned by CRV or acquired by projects, using the corporate tools designated by CRV;
  • Organize the reception and storage of supplies and materials, as well as their transfer to the delivery locations;
  • In coordination with the technical-operational team and the logistics area of ​​headquarters, plan and carry out the monitoring of the purchases of goods and services of the subsidiary, managing when necessary the corresponding payments with their respective supports;
  • In coordination with the local branch office, ensure the maintenance of the vehicle(s) assigned to the project, including preventive, predictive and corrective maintenance, as well as fuel management and logbooks.
  • Guarantee the confidentiality of institutional information.
  • Comply with all policies, procedures, protocols, guidelines and/or similar established by the CRV for the correct and safe development of project activities.
  • To comply with all provisions contained in the codes of conduct or any other similar provision that is currently or may be issued in the future within the institution.
  • Perform other functions assigned by your immediate supervisor that are related to those described above.

Report

The branch’s Administration and Logistics Assistant will report to the local project coordinator and/or the national Finance Officer.

Workplace:
San Antonio, Coro.

To qualify as a builder of the Venezuelan humanitarian system, you must meet the following requirements:

  • Higher technician in administrative sciences or related areas.
  • Minimum experience of one (1) year.
  • Knowledge and handling of administrative processes.
  • Basic knowledge of accounting, tax and fiscal regulations.
  • Basic knowledge in the handling and mastery of financial and accounting information systems.
  • Experience working with the Red Cross/Red Crescent Movement is desirable.
  • Excellent communication skills, ability to build relationships at all levels.
  • Ability to work independently and as a member of a team.
  • Capacity and agreement to adhere to the Fundamental Principles of the Red Cross and Red Crescent.
  • Ability to maintain confidentiality.
  • Strong sense of responsibility and professional ethics.
