THE ESSENTIALS

The Inreach Activity Officer aims to implement the operational activities of the Inreach component under the responsibility of the project manager and in consultation with the other members of his/her team (Outreach Activity Officer, Health Focal Point, Health Promotion Focal Point, Health Promoter, …).

The activities known as “Inreach” are those which are hosted by a partner (Humanitarian Hub, emergency shelters, …).

TASKS AND RESPONSIBILITIES

As Head of Activities:

You will implement all InReach activities through the efficient use of resources, within the framework of the strategy and action plan defined by the Project Manager. You will ensure compliance with internal and donor procedures to guarantee the optimal and high-quality execution of activities in line with the operational strategy. You will provide the necessary logistical support for the smooth running of activities, respecting logistical processes and tools, and in conjunction with the operational logistics officer for Belgian projects. You will maintain relationships with operational partners involved in InReach activities. In collaboration with the Project Manager, you will develop the activity’s action plan (developing project objectives) and contribute to the development of the project and regional advocacy by reporting on field observations that could lead to new opportunities.

Examples of tasks:

  • Ensuring the smooth operational functioning of activities, including telephone backups
  • Ensure the replenishment of equipment, stock management and internal orders (excluding medical equipment) to support the various Inreach activities.
  • Proactively visit the activities
  • Support for the implementation of the project’s monitoring and evaluation system, including the collection of data necessary for the production of indicators and internal reporting tools.

As the Volunteer Team Manager :

In consultation with the Project Manager, the Outreach Activities Officer, and the Health Focal Point and Health Promotion Focal Point for health-related matters, you will coordinate the work of the various volunteers, ensure their well-being at work, and strengthen collaboration to guarantee an optimal working environment based on the project priorities. You will be the primary point of contact between the project team and a large team of volunteers and ensure the effective flow of information.

Examples of tasks:

  • Administrative monitoring of volunteers in conjunction with the Volunteer Manager (signing of agreements, monitoring of expense reports, access to the DPI…).
  • Organize volunteer schedules and backups.
  • Organize the induction briefing for new volunteers and regular volunteer meetings.
  • Ensuring the smooth flow of information between project team members and project volunteers

As a member of the project team :

You are responsible for maintaining constructive relationships with the Outreach activity officer, the project manager, and other team members, as well as with the Belgian operations support coordination team and other headquarters departments, in order to ensure the implementation of the cross-functionality of the project action plan.

You look for commonalities between the different activities, and work in complementarity with the Outreach activity officer, particularly on aspects of volunteer management and networking in order to strengthen guidance capacities.

Examples of tasks:

  • Organize Outreach activity schedules
  • Supporting the Outreach Coordinator in assembling an emergency response team
  • Reporting the need for guidance related to Inreach activities
  • To link with the person(s) responsible for social guidance at the intervention sites (e.g., hub) af
  • Participate in the dissemination of information related to guidance issues within the network
  • Participate in project team meetings.
  • To be able to ensure the continuity of activities carried out by the Outreach Activities Officer if needed

YOUR PROFILE

Education and experience

  • Bachelor’s degree in political science, international relations, sociology, project management or similar field
  • Minimum 2 years of experience in a similar role

Specific skills

  • Volunteer management: the ability to lead and structure the work of a team of volunteers
  • Understanding of project management
  • Ability to work in a context of extreme insecurity
  • Knowledge of the non-profit sector and the migration and homelessness sector in Brussels
  • Knowledge of administrative and logistical procedures
  • Flexibility and resilience to stress in a constantly evolving environment
  • Language: French C2 – Proficient user (mastery level).

  • A permanent, full-time contract (100% – 5 days a week – 39 hours)

  • A gross salary of €3,528.51 for 2 years of experience; a gross salary of €3,635.42 for 5 years of experience; relevant experience recognized
  • Holidays (to be prorated): 20 statutory days + 6 RTT days + 4 extra statutory days between Christmas and New Year’s
  • Job location: Brussels
  • Start date: as soon as possible
