Purpose:
To keep information updated in financial systems through calculations, review of accounting and financial information and records, execution of payment and tax processes, ensuring effectiveness, agility and transparency.
ROLE DIMENSIONS
– Custody and management of the active and inactive files of all documentation issued by accounting related to payments.
– Custody of office supplies and materials for Finance personnel.
– Confidential information: Bank information of Plan International.
MAIN RESPONSIBILITIES
– Process financial information related to payments.
– Prepare and analyze financial information related to banks.
– Process payroll payments, ensuring compliance with national financial regulations and labor laws.
– Maintain an up-to-date list of accounts payable.
Activities for each responsibility:
1. Process financial information and maintain files.
– Issue checks or transfer batches, deliver, monitor, and safeguard them
. – Process payment entries in SAP
. – Upload files to the banking system for payments to beneficiaries.
– Send supporting documentation to the country.
– Electronically confirm the status of payments at the bank and send the information to the CO (Control Center).
– Perform the vendor clearing process in SAP
. – Clear checks in SAP.
– Notify the project sub-manager when advance disbursements are made so they can track the settlements by the technical team.
– Process invoice and tax entries in SAP.
– Process incoming accounts and payments in accordance with financial policies and procedures.
– Perform daily financial transactions, including verifying, classifying, and recording accounts payable data.
– Support the administration and custody of Plan Inc.’s accounting records.
– Process prepayment entries.
2. Process project payroll payments, ensuring compliance with national financial regulations and labor laws.
– Prepare and record accounting entries in SAP

PROBLEM SOLVING
Within the framework of the humanitarian project, the person occupying the position of Payments Assistant will be required to proactively manage operational challenges that may affect the fluidity of transactions, including potential saturations of the financial or banking system.
The successful candidate will be responsible for organizing, prioritizing, and ensuring timely follow-up on the payment process and the review of supporting documentation, guaranteeing compliance with the deadlines established by the project and the donor. They will also be required to implement practical measures to prevent delays, maintain effective communication with the relevant departments, and ensure the continuity and traceability of financial processes in a demanding humanitarian environment.

Qualifications
– Bachelor’s degree in Accounting.
– Minimum 2 years of experience in related positions such as Accounting and/or Finance Assistants, preferably in humanitarian projects.
– Proficiency in Financial Systems.
