Purpose:
To execute the logistics, supply, purchasing, and transportation processes necessary for the implementation of Plan International’s humanitarian project, ensuring the safe and timely transfer of personnel, goods, and materials within the field. This role guarantees the efficient, transparent, and timely use of resources through proper planning, logbook maintenance, coordination of basic vehicle maintenance, and adherence to operational routes. It also involves identifying and mitigating risks in mobilization operations, in accordance with the organization’s policies, standards, and procedures, national regulations, and donor requirements. Furthermore, it promotes environmentally sustainable practices, incorporates an age, gender, and diversity perspective, and ensures compliance with the principles for safeguarding children and adolescents.

MAIN RESPONSIBILITIES
– Support the planning and execution of logistics operations, including tracking deliveries, recording movements, basic inventory control, and safeguarding assets, ensuring the timely availability and appropriate use of resources in project interventions.
– Coordinate and execute the safe and timely transport of personnel, goods, and materials, ensuring compliance with operational routes, up-to-date logbooks, responsible use of assigned vehicles, and basic vehicle maintenance, in accordance with the organization’s security policy.
– Ensure compliance with institutional policies, operating procedures, and donor requirements in logistics and transport operations, guaranteeing the proper organization, recording, and availability of documentation for monitoring and auditing purposes; monitor the area’s KPIs, identify and manage risks in mobilization, and promote sustainable practices, a gender perspective, and compliance with the principles for safeguarding children and youth.

Activities for each responsibility
: 1. Support the planning and execution of logistics operations, including tracking deliveries, recording movements, basic inventory control, and safeguarding goods, ensuring timely availability and proper use of resources in project interventions.
– Support project logistics planning by consolidating requirements for goods, services, and works.
– Track deliveries and supply schedules to ensure timely availability.
– Record incoming and outgoing movements of goods (basic inventory record or equivalent).
– Support basic inventory control and physical verification of stock.
– Coordinate the receipt of goods with requesters and/or warehouse managers.
– Ensure the proper safeguarding of goods and materials in use or storage.
– Maintain up-to-date logistics records and operational reports.

2. Coordinate and execute the safe and timely transport of personnel, goods, and materials, ensuring adherence to operational routes, up-to-date logbooks, responsible use of assigned vehicles, and basic vehicle maintenance, in accordance with the organization’s safety policy.
– Execute the transport of personnel, goods, and materials according to the operational plan.
– Adhere to established routes and defined timeframes for field activities.
– Record vehicle usage logs (mileage, fuel, routes, incidents).
– Perform basic inspections and preventive maintenance on the assigned vehicle.
– Verify safety conditions before each departure (vehicle condition, documentation, routes).
– Report incidents, damages, or risks associated with transportation.
– Support field logistics during deliveries or scheduled activities.

3. Ensure compliance with institutional policies, operating procedures, and donor requirements in logistics and transportation operations, guaranteeing the proper organization, recording, and availability of documentation for monitoring and auditing purposes; track the area’s KPIs, identify and manage risks in mobilization, and promote sustainable practices, a gender perspective, and compliance with the principles for safeguarding children and youth.
– Ensure compliance with institutional policies, safety standards, and donor requirements in logistics and transportation operations.
– Maintain organized, up-to-date, and readily available logistics and transportation documentation (logs, mobilization reports, delivery slips, inventory records).
– Verify that operational records (logs, movement records, delivery slips) are complete, consistent, and supported.
– Track the logistics and transportation area’s KPIs, consolidating information for monitoring.
– Identify operational risks in mobilization (routes, security, transportation conditions) and report them promptly.
– Propose and implement basic risk mitigation measures in coordination with supervision.
– Report logistics or transportation incidents according to institutional protocols.
– Ensure that logistics and transportation operations incorporate environmental sustainability criteria (efficient fuel use, optimized routes, etc.).
– Promote a gender perspective and compliance with safeguarding principles in field and transportation activities.
– Support internal or external audit processes by providing the required documentation and evidence.

Ensures that Plan International’s global safeguarding policy and PII’s policy to prevent harassment, exploitation, and sexual abuse; and Gender Equality and Inclusion are fully integrated in accordance with the policy principles and requirements, including relevant Implementation Standards and Guidelines as applicable to their area of ​​responsibility. Essential Requirements
– High school diploma.
– Minimum of 2 years of experience in similar positions in development or humanitarian aid institutions.
– Honesty and integrity

Knowledge
– Basic knowledge of logistics operations, transportation, and inventory management, as well as applicable national regulations regarding transportation and road safety.
– Proficiency in technological tools such as Microsoft Office (Word, Excel, PowerPoint, Outlook), Teams, Zoom, among others.
– Knowledge of the use and control of logs, logistics records, and operational documentation.
