Finance & Grants Officer
“Accurate and reliable executor for financial administration and donor compliance”

About the position

An accurate and proactive Finance & Grants Officer who ensures the sound execution of daily financial administration, payment processing, bank and cash reconciliations, and support with monthly and annual closings. You monitor donor conditions in proposals and reports, support the Institutional Fundraising team, and work closely with the Operations team. You are hands-on, act with integrity, and deliver reliable financial information in a timely manner.

Your responsibilities

Reporting, conclusion and analysis

  • Support month-end and year-end closing: prepare reconciliations, supporting documents, and transaction summaries.
  • Validate comprehensive financial reports and explain deviations to policymakers and management.
  • Provide internal teams and external parties with financial information: deliver clear, accurate, and timely data.

Donor compliance and grant management

  • Ensuring that proposals, budgets, and reports comply with donor rules and that grants are properly monitored.

Time recording and internal coordination

  • Facilitate the time recording process for colleagues and ensure donor requirements are met.
  • Proactively follow up on the timely submission of financial information by other departments.

Financial administration

  • Maintain accurate and timely financial records: record, verify, and process financial transactions according to internal procedures.
  • Collect and process data: ensure the completeness, accuracy, and valid authorizations of all financial documents.
  • Process payments: prepare outgoing payments after verification of supporting documentation and process incoming payments correctly.

Payments, bank and cash management

  • Bank and cash reconciliations: perform monthly reconciliations and ensure that balances match supporting documents.
  • Process payment flows accurately and ensure proper substantiation of outgoing and incoming payments.

Data quality, archiving and process improvement

  • Check data integrity: identify discrepancies, consult with involved colleagues, and ensure that corrections are made.
  • Archiving and document management: organize and manage financial files so that documents are quickly retrievable.
  • Contribute to the improvement of administrative processes and systems for greater efficiency and transparency.

Your profile

  • MBO or HBO education in Finance, Accounting, Business Administration or similar.
  • Understanding of basic bookkeeping and financial administrative processes.
  • Knowledge of payment procedures, bank reconciliations, and document management.
  • Familiar with the financial structure of non-profit organizations and donor regulations, including the application of ICR and DCR.
  • Accurate, analytical, and strong organizational skills.
  • Integrity, reliability, and the ability to deliver quality under time pressure
  • Fluent in Dutch and good command of English.

Experience

  • At least 2 years of experience in a financial administrative role, preferably within an NGO or similar environment (required).
  • Experience with financial systems and accounting software (desirable).
  • Experience with institutional donors such as the Dutch MFA and/or DG ECHO is a plus.

What we offer

  • Salary ranges from €3,570 to €4,439 gross per month, based on 40 hours per week (the exact amount is determined by the years of your relevant work experience);
  • 8% holiday allowance based on the annual salary;
  • An employment contract for 32-40 hours;
  • 29 vacation days per year on a full-time basis (of which 3 pre-determined days off);
