JOB SUMMARY
JOB PURPOSE:
Documentation Associate responsible for maintaining, organizing, and following up the project beneficiaries’ database, and documents to meet IR standard requirements. Documentation Associate must work within the Program Management Act, Municipal policies and procedures, and comply with all Islamic Relief Acts and Legislation.
Main Duties and Responsibilities:
- Track projects documentation (electronic and papers) as per policies and procedures.
- Prepares source data for computer entry by compiling and sorting information; establishing entry priorities.
- Processes project documents by reviewing data for deficiencies; resolving discrepancies by using standard procedures or returning incomplete documents to the team leader for resolution.
- Enters and processes beneficiaries’ data on Excel after sorting and organizing the data.
- Maintains data entry requirements by following data program techniques and procedures.
- Secures information and documents by completing database backups.
- Maintains operations by following policies and procedures; reporting needed changes.
- To produce and present information to ensure that there is widespread awareness of Data Protection and information security among departmental employees.
- To produce information, data, and statistics including the analysis and illustrations.
- Contributes to team effort by accomplishing related results as needed.
- To carry out other responsibilities and duties as requested by the line manager.
Personal Specification
Experience / Education/Skills- Essential
- A degree from an accredited University in informatics engineering or related study
- Minimum 3 years of progressive responsibility for information and data management and analysis in relevant fields.
Competencies:
- Strong communication, interpersonal & technical skills.
- Proven ability to work independently and as a team member.
- Ability to take initiative if required.
- Ability to multi-task effectively as well as display professionalism and confidence.
- Ability to work under pressure, with short time frames, and in risky situations.
- Ability to enter both Syria and Turkey
- Able to visit and network with health facilities inaccessible areas inside Syria.
Language
- Arabic as mother tongue
- Advanced in English reading and writing (preferred)
IT skills
- Excellent computer skills.
- Proficiency in computer applications, the internet, and search tools.
- Proficiency in MS office are a must and the ability to use the software necessary for information management and reporting (Power Bi , Kobo Toolbox)
