Administrative and Logistics Assistant – Venezuela At MENTOR Initiative

Duration: Four months, with possibility of extension

Requirements for the role

Education:

Technical qualification or degree in business administration, logistics, accounting or related fields.

Experience:

  • Minimum two to three years of experience in administrative roles, inventory control, cloud platform management (Box, Drive, etc.), or project/donation management.
  • Knowledge of donor financial reporting policies (for organisations such as ECHO, Oxfam) is highly valued.

Technical skills:

  • Intermediate/advanced proficiency in office software (Excel, Word).
  • Proficiency in institutional storage and tracking platforms.
  • Knowledge in preparing and verifying accounting and administrative supporting documents (SAGA).
  • Spanish is essential, English an asset.

Personal skills:

  • High attention to detail and analytical skills.
  • Organised with good time management.
  • Results orientation and procedural integrity.
  • Communication and teamwork.

Objective

Provide operational, logistical and administrative support in document management, inventory control, and the preparation of financial supporting documents, ensuring report accuracy, information traceability, and compliance with institutional and donor regulations.

Main duties and responsibilities

Administrative and document management

  • Upload, verify and maintain updated administrative and financial supporting documents on the designated tracking platform (e.g. Box), ensuring they meet the required standards for approval.
  • Prepare and organise physical and digital document files for internal and external audits.
  • Assist in the ongoing control and updating of the petty cash tracking sheet (cash reconciliations/audits) and the recording of payment outflows.
  • Support overall payment management, including the preparation, execution, and follow-up of both cash (petty cash) and bank transactions.

Logistics management and delivery control

  • Accurately record and report donations, supplies and deliveries using established institutional formats.
  • Ensure complete consistency between delivered goods/services and documented records (delivered product equals reported product), strictly complying with donor and organisational regulations.
  • Coordinate logistics for the distribution, reception and storage of institutional materials or goods.
  • Coordinate local staff transport in Caracas and La Guaira.
  • Maintain updated inventory and perform periodic reconciliations with the procurement/warehouse department.
  • Support the procurement process for goods and services.
