Greening strategy:

ACTED PSEAH Policy:

Area logistics assistant has the responsibility to adhere to the PSEAH Policy (Protection against Sexual Exploitation, Abuse and Harassment). The area logistics assistant has the obligation to complete all mandatory trainings related to the Code of Conduct and the PSEA policy and report any safeguarding concern such as breaches of organizational policies or codes of conduct according to ACTED’s procedures. The area logistics assistant carries out work duties in a way that does not harm children, vulnerable adults or other staff or volunteers

Job Purpose

The logistics assistant is responsible for the procurement, the stock, the fleet, the assets, and overseeing service contracting in NWS area of intervention.

Objectives

  • Respect and Follow Up the ACTED’s Logistics Procedures
  • Produce Logistics information in line with ACTED Templates
  • Ensure efficient and compliance procurement, assets, stock, and FLEET management

Duties and Responsibilities

Fleet management:

  • The logistics assistant is responsible of managing the drivers that work for ACTED and make sure that they are following ACTED procedures during their daily work.
  • The logistics assistant is responsible for checking the fleet readiness, the fuel purchasing and consumption.
  • Monthly review of the logbooks
  • The logistics assistant is responsible for arranging the daily trips of the fleet and confirming to both the drivers and passengers the timings of the trips.

Procurement:

  • Ensure that all the procurements that are being done by him/her are following the ACTED procedures for the scenarios A, B, Cand support in D scenario.
  • Ensure direct contact with the suppliers and keep track of the delivery done by the suppliers and update the CFU accordingly.
  • Updating the OFU, CFU, and any other document needed for the logistics team for the A, B, and C scenario.
  • Prepare quality check of samples in coordination with program team.
  • Finalize completion certificates and procurement documentation.
  • Conducting market survey and assessment upon the request

Assets and stock Management:

  • Ensure that all the assets that ACTED has are registered in the general asset list and according to ACTED logistics procedures.
  • Provide the needed support for all ACTED staff with the assets needs and according to ACTED logistics procedures.
  • Update the general asset list when it is needed and keep a track on any extra needs of assets and report it to the head of the department.

Reporting:

  1. Prepare and submit reports of AST-01 , AST-04 , AST-05 ,AST-06. ( Asset repots)
  2. Prepare and submit reports of STO – 01 , STO -2 , STO -5 . ( Stocks and warehouses reports)
  3. Prepare and submit reports of TRA 06 , TRA 07 . ( Fleet and generators reports)
  4. Prepare and submit internal and external Waybills.

Key Performance Indicators

  • 95% of planned monthly and weekly activities are implemented in time.
  • 90 % of planned targets of the activities are achieved.
  • Number of OFs prepared and submitted in a timely manner.
  • Number of eligible quotations collected in the field.
  • Number of warehouses, shipment receipts and deliveries.
  • Number of vehicles included in the fleet.
  • Number of assets registered in assets list.
  • Number of reports shared and submitted on time.
  • 90% of requested information, inputs and documents ready on time.
  • 100% of the logistical documentation produced at the base level are reviewed, scanned, archived, and shared with compliance and finance in a timely manner.
  • 90% of safety and security measures for logistical operations were followed.

QUALIFICATIONS

  • Bachelor’s degree
  • Fluency in written and oral Arabic
  • Working knowledge of English skills ((written and spoken).
  • Strong skills in written communication, including effective report writing.
  • At least 2 years’ work experience in a similar position preferred with an INGO
  • Ability to work under pressure in a high pace environment.
  • Good organizational and prioritization skills.
  • Intermediate in Microsoft Office, Microsoft Excel, and Publisher.
  • Strong interpersonal skills
  • Strong analytical skills
