Call for Proposals (CFP) Business Development and Growth Consultancy for Yasmeen Interactive Virtual School At Abjad Educational Initiative

First: About the School

Yasmeen Interactive Virtual School is one of the educational programs of the Abjad Initiative for Education. It provides online educational services for children, adolescents, and adults from different countries, with a special focus on teaching Arabic to native and non-native speakers, as well as various languages and academic skills.

The school currently offers educational programs including Arabic, English, Turkish, Mathematics, Mental Arithmetic, Programming, and the Holy Quran.

The school currently serves between 350 and 500 active students from several countries around the world, with a primary focus on Arab communities in Europe and the Gulf states.

Current growth relies heavily on direct referrals and recommendations from current parents and students, alongside limited marketing activities.

The school currently operates on a post-paid service model and is studying a gradual transition to a pre-paid model as part of its efforts to enhance financial sustainability and develop operational processes.

Revenues from Yasmeen School contribute to supporting the mission of the Abjad Initiative for Education and its educational programs targeting children and the most vulnerable groups.

Second: Objective of the Consultancy

This consultancy aims to support Yasmeen School in:

  • Assessing the current situation of the school from commercial, operational, and marketing perspectives.
  • Reviewing and improving the current business model.
  • Identifying growth opportunities and maximizing revenues.
  • Improving the experience of parents and students throughout the enrollment and learning journey.
  • Developing a results-driven growth and marketing strategy.
  • Building a clear framework for performance measurement and progress tracking.
  • Assessing the school’s readiness for growth and expansion, and providing practical recommendations to enhance financial sustainability and operational efficiency.

Third: Scope of Work

Phase One: Diagnosis and Business Model Development

Required Activities:

  • Reviewing the current situation and work methodology of the school.
  • Analyzing current educational services and offered packages.
  • Analyzing current revenue streams.
  • Reviewing the current pricing policy.
  • Analyzing the customer journey from inquiry to enrollment and retention.
  • Reviewing communication, enrollment, and collection mechanisms with parents.
  • Analyzing the market, competitors, and target groups.
  • Identifying key challenges and factors affecting growth.
  • Developing an updated business model that supports growth and sustainability.

Required Outputs:

  • Diagnostic report of the current situation.
  • Analysis of gaps, challenges, and improvement opportunities.
  • Proposed business model.
  • Practical recommendations for maximizing revenues and improving performance.
  • Identification of short and medium-term priorities and growth opportunities.

Payment Percentage: 40% of the contract value upon approval of outputs.

Phase Two: Growth and Marketing Strategy

Required Activities:

  • Identifying priority target segments.
  • Developing a student acquisition strategy.
  • Designing the optimal customer journey.
  • Designing a sales funnel illustrating conversion stages from inquiry to enrollment and retention.
  • Developing a student retention strategy.
  • Developing a referral and recommendation strategy.
  • Defining Key Performance Indicators (KPIs).
  • Preparing a practical and measurable implementation plan.

Required Outputs:

  • Growth and business development strategy.
  • Marketing and student acquisition strategy.
  • Customer journey model.
  • Integrated sales funnel.
  • KPIs framework.
  • Practical implementation plan including:
    • Priorities for the first 90 days.
    • Action plan for months 4–6.
    • Directions and goals for months 7–12.
    • A set of priority practical initiatives ranked by expected impact and ease of implementation.
    • Proposed quantitative indicators and targets for measuring success.

Payment Percentage: 60% of the contract value upon approval of all outputs.

Fourth: Required Qualifications

The applicant may be:

  • An independent expert or consultant.
  • A consulting firm.
  • An entity specialized in business development or growth strategies.

It is preferred that the applicant has proven experience in one or more of the following areas:

  • Business development and institutional growth.
  • Revenue enhancement strategies.
  • Digital marketing and customer acquisition.
  • E-learning or educational platforms.
  • Subscription models and paid educational services.
  • Improving customer experience and retention.
  • Providing examples or measurable results of similar projects previously implemented is also preferred.

Language and Communication Requirements:

  • The applicant must have the ability to communicate and work in Arabic.
  • Arabic is the primary language for meetings, presentations, reports, and final consultancy outputs.
  • English may be used in some tools or supporting documents if necessary, provided that the main outputs submitted to management are in Arabic.

Fifth: Application Requirements

Applicants must submit the following:

  • A technical offer explaining their understanding of the task and proposed methodology.
  • A profile of the applicant entity or expert.
  • Examples or case studies of similar projects.
  • Proposed implementation timeline.
  • Financial offer including all costs.
  • Clarification of the team’s or consultant’s ability to execute the task and communicate with stakeholders in Arabic.

Additionally:

  • A brief initial concept (no more than two pages) outlining:
    • The applicant’s understanding of potential challenges facing Yasmeen School.
    • The main areas they will analyze during the first phase.
    • Their initial vision for potential growth and development areas.

Sixth: Implementation Period

The consultancy is expected to be implemented within a period of 6 to 8 weeks from the contract signing date.

Seventh: Evaluation Mechanism

Proposals will be evaluated based on the following criteria:

  • Understanding of the task and proposed methodology.
  • Previous experience in similar projects.
  • Quality of the submitted initial concept.
  • The applicant’s experience and measurable results achieved.
  • Suitability of communication style and the applicant’s ability to deliver clear, usable outputs in Arabic.
  • Financial offer.

Shortlisted candidates may be invited to give an oral presentation or attend a technical interview before the final decision is made.

Eighth: Expected Output Quality Criteria

All recommendations, plans, and outputs submitted must be:

  • Practical and applicable within the school’s reality and available resources.
  • Linked to measurable goals and performance indicators.
  • Prioritized by expected impact.
  • Supported by clear justifications and methodology.
  • Convertible into practical implementation steps that the team can follow up on and measure results.

Ninth: General Notes

  • Yasmeen School reserves the right to request any additional clarifications regarding the technical or financial offer.
  • The school reserves the right not to accept any of the submitted proposals without giving reasons.
  • The school reserves the right to negotiate with the winning bidder regarding the provision of subsequent support or implementation services based on the consultancy outputs, under a separate agreement to be agreed upon later.
