Job Summary

The Center Officer will be responsible for ensuring the effective daily operation of DOOR Beyond War’s community center in Gaziantep. This role includes managing administrative tasks, maintaining accurate documentation and financial records, and supporting the coordination of activities and events. The Center Officer will serve as the main focal point for organizing center logistics, archiving program and financial documents, and assisting with procurement and reporting processes in compliance with organizational and donor requirements. Working closely with the Community Program Coordinator and the Finance/Admin Officer, the Center Officer will help ensure that the center remains a well-organized, safe, and accessible space for community engagement and program implementation.

1. Background
DOOR Beyond War operates a community center in Gaziantep aimed at strengthening community engagement, supporting displaced and host communities, and providing a safe and accessible space for activities, services, and local initiatives. To ensure effective daily operations and strong administrative and financial compliance within the center, DOOR Beyond War is recruiting a full-time Center Officer. The position will play a key role in managing the center’s daily functions, maintaining proper documentation, and supporting financial and administrative processes in alignment with organizational and donor policies.

2. Purpose of the Position
The Center Officer is responsible for managing the daily operations of the community center, ensuring proper documentation and reporting, and supporting administrative and financial processes in line with organizational policies and donor requirements.

3. Key Responsibilities

Daily Center Operations

  • Oversee daily functioning of the community center and ensure a welcoming, organized, and safe environment for staff and visitors.
  • Support scheduling, coordination, and preparation of center activities and events.
  • Ensure availability of required materials, supplies, and logistical needs.
  • Maintain visitor logs and general documentation of center usage.

Reporting & Documentation

  • Prepare and submit regular progress reports on center activities.
  • Ensure proper documentation and filing of all program-related forms, attendance sheets, and logs.
  • Maintain organized electronic and physical archives of program and center documents.

Financial Documentation & Archiving

  • Collect, organize, and archive all invoices, receipts, payment records, and supporting documents on a daily basis.
  • Verify completeness and compliance of financial documentation with organizational and donor policies.
  • Prepare payment requests and verify their accuracy before submitting them to the Finance Officer or Community Program Coordinator.

Procurement

  • Support procurement processes by collecting quotations, preparing purchase documentation, and following up on approvals.
  • Ensure all procurement-related documents and templates are properly signed and filed.

General Administrative Support

  • Provide administrative support including drafting correspondence, organizing files, and supporting staff with documentation needs.
  • Assist in coordinating meetings, preparing minutes, and maintaining office supplies.
  • Support logistical arrangements for trainings, workshops, and community events.

4. Qualifications and Experience

  • Recent graduate or in the final years of completing a degree in Business Administration or a related field.
  • Minimum of 1 year of relevant experience in administration, finance support, community center operations, or similar roles.
  • Strong organizational and documentation skills.

Languages

  • Arabic: Required
  • Turkish: High level proficiency required
  • English: would be an advantage

Skills and Competencies

  • Strong communication and interpersonal skills.
  • Excellent organizational and time-management abilities.
  • Ability to manage multiple tasks under tight timelines.
  • Familiarity with MS Office (Excel, Word, Outlook).
  • Familiarity with Google Suite (Gmail, Calendar, etc.)
  • Attention to detail and accuracy in documentation.
  • Ability to work both independently and as part of a team.

Desirable

  • Knowledge of Turkish financial/accounting regulations
  • Previous experience in the humanitarian or development sector
  • Experience working in multicultural teams
  • Turkish citizenship

6. Supervision and Reporting
The Center Officer will report directly to the Community Program Coordinator.
