Collection Department Assistant (M/F) At Doctors Without Borders

Doctors Without Borders, an international humanitarian medical association created in 1971, provides medical assistance to populations whose lives are threatened: mainly in cases of armed conflict, but also epidemics, pandemics, natural disasters or exclusion from care.

The mission of the Private Fundraising Department Assistant is to contribute to the smooth running of the department by facilitating the organization of activities and the flow of information both within the department and with other departments, the international movement, and external partners. They are also responsible for document management, information archiving, and providing administrative support to the department’s activities.

MISSION

Reporting to the Private Fundraising Department and working with all the Department’s services:

Support for the Department’s operations:

  • You organize and coordinate meetings of the Department and Heads of Services: preparing agendas, logistical organization, drafting and distributing minutes.
  • You are the primary contact for the Collection Department with the Assistants in other Departments.

Support to the Collection Department:

  • You will be responsible for the administrative and budgetary monitoring of the Directorate (invoices, expenses, expense reports, budget tracking spreadsheets)
  • You are in charge of administrative declarations and drafting various letters for the Collection Department.

Administrative management and HR support:

  • You will be responsible for the administrative management and support of the Department (logistical organization, room bookings, travel management, ordering and managing supplies, drafting correspondence and various administrative procedures)
  • You will participate in the Department’s recruitment process (creating and tracking job applications, publishing job postings, and liaising with the Recruitment department in accordance with internal procedures). You will support the onboarding of new employees and ensure their effective adoption of the Department’s tools and operating procedures.
  • You provide support to the entire Department in the event of emergency fundraising or one-off projects.

Internal information and communication management:

  • You ensure the smooth flow, organization, and preservation of information shared within the Department. As such, you are the point of contact for all matters relating to physical and electronic archiving.
  • You contribute to the Department’s internal communication, in particular by managing the Collection page on the intranet.
  • You participate in the editorial committee of the MSF France internal newsletter.

Event organization:

  • You provide support to teams in the organization of meetings, seminars and events related to private fundraising.

Development of cross-sectoral collaboration and sector monitoring:

  • You contribute to the development of exchanges and collaboration with other MSF services and departments
  • You monitor fundraising activities in France and participate in maintaining relationships with professional bodies in the sector (AFF / France Générosités).
  • You facilitate exchanges with the International Office (registration for international working groups, dissemination of information, support for the coordination of team contributions)

Desired profile

Experience: You have a strong interest in humanitarian work and at least 2 years of professional experience as an Executive Assistant. Knowledge of fundraising is an asset.

SKILLS :

  • Proficiency in Microsoft Office, particularly Excel
  • Good writing skills
  • Excellent written and oral communication skills.

Languages : Fluent French C2 and English C1, spoken and written.

Employment conditions

Status: Permanent full-time contract. Position equivalent to management, based in Paris.

Compensation and benefits:

  • €41,100 gross annual salary over 13 months
  • 22 days of RTT (reduced working time) per year
  • Working remotely according to MSF’s rules (2 days/week).

  • 50% reimbursement of public transport pass (weekly, monthly or annual) OR bicycle mileage allowance (€0.25 per km, limited to €450 per year)
