Purpose:
Execute and monitor key operational activities of the regional process of collecting Individual Donors, ensuring the quality of information, compliance with established procedures and the operational continuity of the service, under the guidelines of the CSC-DI Coordinator; as well as generate information and alerts that support monitoring and decision-making.
Dimensions of the Role:
The Regional Collection Operations Analyst provides technical support for the execution and monitoring of the regional collection process, in accordance with defined procedures, schedules, controls, and guidelines.
- Regional operation: execution and monitoring of collection activities in the countries served by the CSC-DI.
- Operational support: timely guidance to assistants and users of the process, in accordance with established procedures.
- Technological ecosystem: operational use of CRM, collection platforms, integrations and associated tools, within the defined permissions and guidelines.
- Continuous improvement: identifying and documenting opportunities for improvement and supporting the implementation of approved changes.
- Information and monitoring: preparation of data, reports and operational indicators for the Coordinator and the areas involved.
Main Responsibilities:
I. Operation and monitoring of the regional collection process
- Execute and monitor the operational activities of the regional collection process, ensuring its registration, monitoring, quality and timely escalation according to defined procedures.
- Perform updates, queries, registrations and validations in the CRM and on the collection platforms, in accordance with the established permissions and guidelines.
- Perform collection and collection processing activities, including preparing and processing files, debits, updating donation responses and statuses, managing inconsistencies, and following up on ineffective collections.
- Execute assigned critical process activities, including reconciliations, operational closures, financial interfaces, data uploads, and other tasks as outlined in approved schedules and controls.
- Support the management of authorized returns and the monitoring of operational cases related to collection, escalating in a timely manner those that require a decision from the Coordinator or other areas.
II. Technical support and operational coordination
- Provide timely technical support to people involved in the process, sharing approved operating instructions and escalating doubts or deviations to the CSC-DI Coordinator.
- Support the distribution and monitoring of operational activities among the assistants assigned to the process, when so defined by the Coordinator, without assuming administrative supervision or performance management responsibilities.
- Documenting procedures, instructions, and operational learning that facilitate continuity and knowledge transfer.
III. Technological tools, automation and continuous improvement
- Support the operational use and monitoring of technological collection tools, documenting incidents, improvement needs and functional requirements for review and prioritization by the Coordinator and the responsible technical areas.
- Participate in functional testing of CRM, collection platforms, integrations and automations, following the defined guidelines and documenting results, incidents and adjustment needs.
- Identify and document opportunities for improvement, simplification, automation, standardization and integration in the collection process, and support the implementation of improvements approved by the Coordinator.
- Support the progressive transition from local or manual solutions to organizational tools, providing information on operational needs, testing, and functional validations.
IV. Analytics, information and operational monitoring
- Prepare operational analyses and collection indicators that allow the identification of variations, incidents, trends, and opportunities for improvement for review by the Coordinator.
- Prepare and share periodic operational reports with the CSC-DI Coordinator and the areas involved, according to the defined channels, formats and schedules.
- Provide complete, consistent and traceable information on collections, ineffective collections, reconciliations, incidents and other operational variables that serve as input for decision-making and recovery actions.
V. Operational coordination with areas and third parties
- Support operational coordination with banks, collection platforms, technology providers, Finance, IT and country offices, following up on incidents, tests, requirements and previously defined activities.
- Follow up on requests and situations that affect operations, keeping the relevant parties informed and escalating matters that exceed their decision-making scope in a timely manner.
VI. Business continuity, risks and knowledge
- Identify, record and escalate operational risks and incidents in the collection process, supporting the execution of approved controls and contingency plans.
- Maintain up-to-date operational documentation, records, and evidence of the process assigned to you, contributing to the continuity of service and the reduction of dependence on people.
- Support knowledge transfer through documentation, user guides, transfer sessions, and timely guidance to process users when required.
TECHNICAL EXPERIENCE, SKILLS AND KNOWLEDGE
Technical expertise

- Professional in administrative, accounting, financial or engineering areas.
- Experience in CRM, collections, automation, and data analysis. (Preferably in Microsoft Dynamics or Salesforce CRM).
- Advanced proficiency in Excel; Power BI, Power Query, Power Automate and Dynamics skills are desirable.
- Experience in process improvement management.
- Minimum of 3 years’ experience in the NGO sector in fundraising (collection of donations or similar processes).
- At least 2 years of experience working with customer/donor databases (CRM).
- Experience in collections and budgeting. Experience in high-volume recurring debit operations preferred.
- Communication skills to interact with stakeholders.
- Professional in administrative, accounting, financial or engineering areas.
