Context & Mission

Doctors Without Borders is an independent international medical and humanitarian organization that provides care to people in need, to people affected by natural or man-made disasters and to victims of armed conflict, without discrimination and without regard to race, religion, beliefs or political affiliation (MSF Charter).

The Facility Officer ensures the smooth daily operation of the headquarters by managing mail and overseeing general services (catering, laundry, supplies, waste). They participate in the maintenance and organization of workspaces. They support internal teams to maintain an efficient, functional, and pleasant work environment. Their technical support is provided in close collaboration with the Facilities Coordinator.

Main responsibilities

Mail handling

  • Ensure the daily collection of mail at reception
  • Affix the date of receipt to incoming mail.
  • Sorting and distributing mail to the mailboxes in the different departments
  • File the mail upon return
  • Ensure the postage of outgoing mail is paid.
  • Make payments related to postal shipments
  • Deliver outgoing mail to the post office

Technical building management

  • Ensure stock monitoring and paper supply for printers and photocopiers
  • Manage consumables (toners) and replace them
  • Organize and ensure paper recycling
  • Process Facilities requests via the dedicated management tool
  • Manage the ordering and tracking of business cards
  • Purchase technical equipment and furniture
  • Receive, assemble and install the ordered furniture
  • Participate in the removal of obsolete furniture
  • Contribute to minor maintenance and various repairs
  • Ensure, in collaboration with the Facilities coordinator, that evacuation routes remain clear.
  • Participate in the layout of the conference rooms
  • Ensure the removal of waste not handled by the cleaning team (cardboard, paper)
  • Monitor waste collection (Morillons eco-point)
  • Part of the first response team for alarm follow-up

Monitoring of meeting rooms, coffee areas and kitchen

  • Ensure the furniture is set up and the water and fruit supplies are available in the meeting rooms.
  • Ensure the smooth operation of the coffee areas and the kitchen
  • Manage the distribution of dishes between the different areas
  • Provide occasional cleaning services as needed or in emergencies
  • Perform maintenance and upkeep of refrigerators
  • Ensure the laundry is properly maintained and that the dish towels are washed weekly.

Catering

  • Receive and verify the consistency of catering requests
  • Monitor the event calendar
  • Place orders with the service provider (Tukul)
  • Ensure the proper implementation of services
  • To act as the interface between internal clients and the service provider

Shopping and external errands

  • Carry out various errands and administrative tasks (cantonal administration, notary, embassy, ​​etc.)

Desired profile

Education

  • Training in the field of logistics, facilities, or hospitality.

Experience

  • Solid professional experience in the field of expertise

Technical Skills

  • Proficiency in standard computer tools (Word, Excel, PPT, ticketing system, etc.)
  • Organizational skills and ability to prioritize
  • Driving licence and scooter licence.

LANGUAGES

  • French: fluent (required)
  • English: good command
  • German: appreciated

Working conditions

  • Part-time position, 50% (20 hours/week)
  • Permanent contract
  • Workplace: Geneva
  • Ideal start date: 01.04.2026
  • Gross annual salary (at 50%): from CHF 33,342.- to CHF 42,096.- (salary based on equivalent experience and internal salary scale).
  • Paid vacation: 25 days per year, pro rata temporis, plus Swiss public holidays falling during the term of the contract.
  • Pension fund: contribution to the pension fund (2nd pillar-LPP) covered at a rate of 3/4 by MSF and 1/4 by the employee.
  • Relocation assistance in the event of a move from another country to Switzerland.
