Context & Mission

Doctors Without Borders is an independent international medical and humanitarian organization that provides care to people in need, to people affected by natural or man-made disasters and to victims of armed conflict, without discrimination and without regard to race, religion, beliefs or political affiliation (MSF Charter).

In line with the vision and objectives of the Field HR department, the goal of the Field HRIS Support position is to support consistent and effective field HR management that takes into account the organization’s various requirements (operational, social, financial, international, legal, etc.). This role is part of the Field HR Tools unit, whose role is to provide technical support to field teams, complementing the HR Operations Programs (HROP), whose strategic role is to support and coach the Regional HR Coordinators (COHR) on their programs.

The unit’s objectives are as follows:

  • Design, optimize and deliver HR support to meet operational needs with appropriate HR policies and tools
  • Supporting programs to develop mechanisms to prevent, detect and address HR risks
  • Strengthening team capabilities and transferring skills to the field
  • Improving HR data management and analysis
  • Simplify internal standards and make them accessible

To achieve this, under the supervision of the HRIS Specialists, the Field HRIS Support team will need to:

  • Receive and participate in support requests from operational fields
  • Apply problem-solving protocols and know how to communicate business procedures.
  • Participate in ensuring HR data compliance
  • Participate in system testing during updates or the deployment of new features, providing feedback on usability and functionality.
  • Guiding users towards available resources during their induction, addressing their questions/problems, and their training needs
  • Participate in the development of HRIS training tools and manuals and their regular updates
  • Provide basic training sessions or offer guidance to new users on the effective use of HR tools

Main responsibilities

Operations/User Support

  • Handles tickets, requests and questions assigned to them by application managers and HRIS liaisons
  • Receives requests to create new users, initiates the necessary tickets, and ensures appropriate follow-up.
  • Performs ad hoc data extractions and assists users during data processing
  • Performs induction training on the required standards for new users of the tools
  • Provides support and guidance to users in their regular activities, as well as in the implementation and maintenance of policies and procedures.
  • Participates in the preparation and delivery of online workshops (webinars) for field HR colleagues, based on priorities and current topics.
  • Engages in user communities, interacts in collaborative documentation
  • Guides users to the right training resources, documentation, etc.

Support for the team

  • Applies update, upgrade and migration protocols
  • Participates in maintaining internal documentation for tool management
  • Participate in the testing phases of all new versions of field HR tools
  • Monitors data quality controls, communicates issues to relevant users, and provides appropriate support options.
  • Participates in the creation of educational content and training of different types; PowerPoint presentations, workshops, videos, questionnaires, etc.

Communication

  • Participates in unit and HR department field meetings
  • Participates in various training sessions (in Geneva or decentralized) as well as regional workshops organized on the topic of HRIS where applicable.

Others

  • Contributes to any other HR or cross-functional project as requested by the Unit Manager
  • Participates in the life of the unit (back-up, in-depth files, etc.)

Desired profile

Education (desired)

  • Post-secondary training related to Management / Administration / HR, HRIS

or

  • Relevant professional experience related to the creation of educational/training content

Experience (required)

  • Field experience with MSF related to HR administration, HR support / HRIS / payroll, etc.
  • Experience in user support and guidance
  • Experience in creating educational content / documentation / training

Expertise, knowledge and skills

  • Proficient in Microsoft Office suite software, advanced proficiency in Microsoft Excel
  • Knowledge and past experience with Homere software, OCG HR Matrix, planning tools, etc.
  • Experience in creating training content. Specific skills with training content creation software/tools are an asset.
  • Experience in maintaining documentation databases, user communities, and collaborative tools is an asset.
  • Excellent problem-solving skills with a customer-focused approach.
  • Knowledge and ability to identify and document a software problem
  • Knowledge of MSF OCG’s HR policies and procedures is an asset

Languages ​​(required)

  • The working languages ​​of MSF Switzerland are English and French. The minimum requirement for this position is B2 level.

Working conditions

  • Part-time or full-time position 80-100% (32-40 hours/week)
  • Fixed-term contract until 31.12.2026
  • Work location: Geneva, with field travel
  • Ideal start date: As soon as possible
  • End date: 31.12.2026
  • Gross monthly salary (at 100%): from CHF 6,738.- to CHF 8,102.- (salary depending on equivalent experience and internal salary scale).
  • Paid vacation: 25 days per year, pro rata temporis, plus Swiss public holidays falling during the term of the contract.
  • Pension fund: contribution to the pension fund (2nd pillar-LPP) covered at a rate of 3/4 by MSF and 1/4 by the employee.
  • Relocation assistance for eligible individuals.
