France – Logistics and Finance Assistant (M/F) – South Zone At International Solidarity

SOLIDARITES INTERNATIONAL (SI) is an international humanitarian aid association that, for over 40 years, has been providing relief to populations affected by armed conflicts and natural disasters by meeting their basic needs, such as food, water, and shelter. Particularly committed to combating diseases linked to unsafe water, the world’s leading cause of death, SI’s interventions leverage expertise in the areas of access to drinking water, sanitation, and hygiene promotion, as well as in the essential area of food security and livelihoods. Present in 26 countries, SI’s teams—a total of 3,200 people, including expatriates, national employees, permanent staff at headquarters, and a few volunteers—operate with professionalism and commitment while respecting cultures.

The mission

The Solidarités International (SI) project in France helps people in precarious situations living in precarious housing sites (such as shanty towns or squats) around Toulouse, Lille, Nantes, Marseille, Montpellier as well as in Ile-de-France and Mayotte. The difficulties of the target populations are characterized by the barriers they encounter in accessing essential services (particularly cleaning and hygiene products) and by severely degraded housing conditions that do not allow for decent living conditions due to a very degraded environment. SI meets the needs of the targeted populations by installing infrastructure for access to drinking water, sanitation infrastructure and the distribution of hygiene kits.

GENERAL OBJECTIVE:

The logistics and finance assistant for the South base carries out their duties under the authority of the Logistics and Finance Manager for the South zone (Marseille, Toulouse, Montpellier) and works in collaboration with the program teams: WASH (Water, Hygiene and Sanitation) techniques, the fight against menstrual poverty and community mobilization.

Internship objectives:

  • Discover a mission within an NGO and understand the relationship between headquarters, coordination and the field
  • Discover activities in the field by traveling to mainland France to the various intervention sites
  • Discover the different professions in the field
  • Understand how a mission works and its constraints
  • Understanding the relationships between different humanitarian actors
  • Discover and put into practice the different purchasing procedures
  • Putting project tracking management into practice
  • Discover the different financial monitoring tools

List of main responsibilities:

  • Assist the log-fin manager in understanding the market and updating purchasing tools in compliance with donor rules
  • Ensure program and logistics orders as well as monitoring purchases
  • Ensure the transport of goods, delivery of purchases and storage of goods before the intervention of technical teams
  • Assist the log-fin manager in finding donations of products for hygiene kits
  • Assist in the implementation of distributions, travel to the field to participate in distributions
  • Ensure the archiving and centralization of logistics documents
  • Ensure the updating of accounting journals and the archiving of accounting documents
  • Track billing and make prepayments

Task details:

PURCHASES

  • Assist the log-fin manager in studying French markets and finding suppliers and donations
  • Participate in the preparation of purchasing files via the LINK platform in compliance with IS purchasing procedures
  • Monitor purchasing files and ensure their proper receipt in the mission’s storage areas
  • Travel to the field as necessary to monitor purchases, source suppliers and implement distributions
  • Implement the transport of goods between intervention areas
  • Participate in the compilation of logistics documents during final reports
  • Participate in the preparation of the monthly logistics pack
  • Archive purchasing file documents on the LINK platform

TRANSPORT

  • Facilitate travel for members in your area by preparing train/hotel reservations
  • Assist the logistics and finance manager in organizing inter-base freight
  • Participate in monitoring fuel movements and the motorized fleet

STORAGE

  • Ensure stock inventory with the logistics and finance manager
  • Inform the program teams of the arrival of products in stock

DISTRIBUTIONS

  • Seeking donations to make up the kits
  • Ensure the packaging of the kits, the transport and storage of the kits prior to distributions
  • Travel to the field to participate in the distribution of kits

ACCOUNTING

Assist the logistics and finance manager in all accounting tasks:

  • Collect and then compile all individual bank card tracking records (logs) for your area
  • Check and archive supporting documents
  • Compile logs, check the consistency of analytical information and the correct allocation of expenses
  • Gather all the elements of the accounting pack for monthly sending to the logistics and finance manager: accounting journals / supporting documents / bank reconciliation / cash inventory / reading document.
  • Contribute to the monthly and annual accounting closing

FINANCIAL MANAGEMENT

  • Participate in the verification of the mission’s budget monitoring
  • Cross-check the OFU (Operational follow-up) and LFU (Logistics follow-up) with the entries made in accounting
  • Assist in the preparation of financial audits

GENERAL

  • Participate in weekly and monthly meetings of the office and the various departments worked on
  • Provide support to all areas based on requests
  • Ensure the archiving of logistical and financial documents for its area
  • Participate in the creation of monthly logistics and financial packages
  • Coming from a background in humanitarian logistics, accounting and/or financial management, project management, development, international relations, political science
  • Administrative capacity to carry out an internship/work-study program in France (French or European nationality, or possession of a residence permit authorizing work)
  • Excellent knowledge of the Microsoft Office suite (mainly Word and Excel)
  • Very good analytical and writing skills
  • Good synthesis and prioritization skills

Stage:

  • Intern with mandatory internship agreement
  • The gratuity is calculated in proportion to the actual hours of presence over the month (on
    average 1 month = 154 hours, or 22 days of 7 hours/day)
  • Public transport covered 50% by SOLIDARITÉS INTERNATIONAL
  • Meal vouchers at €8.90/day of actual training, with
    60% contribution from SOLIDARITÉS INTERNATIONAL

Alternation:

  • 12-month work-study apprenticeship contract
  • Remuneration according to current regulations
