RESPONSABILITES
- Perform administrative and legal tasks under the supervision of the Administration Manager, verify salary calculations and update personnel files to ensure correct, compliant and timely payments.
- Implement financial management procedures to ensure optimal control and security and to guarantee the availability of funds.
- Prepare employment contracts in accordance with legal requirements, including specific modifications where necessary, to ensure compliance with local labor and tax law.
- Enter data into the HR database and personnel files, and keep them up to date to facilitate the management of HR procedures.
- Update employee social security and tax records to meet regulatory requirements and obligations.
- Prepare monthly payroll slips for all staff, modify and update the necessary data to ensure the punctuality and accuracy of staff salaries.
- Prepare the final payslip and work certificates at the end of the contract in order to meet regulatory requirements while defending the interests of MSF.
- Monitor expiring lease agreements and inform the Administration Manager in a timely manner to arrange a renewal or to find an alternative.
- Assist the Administration Manager with monthly budget forecasts and planning to ensure the settlement of daily needs, salary advances, salaries, etc.
- Process payments to suppliers and maintain strict control over all required documentation, reporting any discrepancies to the Administration Manager.
- Perform all accounting tasks and activities to ensure strict control over all expenses and the reliability of statements and documentation.
- Ensure that all administrative information is accessible to all staff (assignments, meetings, etc.)
- Classify and prepare all accounting documents required by the Administration Manager.
- Classify accounting files and enter accounting elements into the accounting software, with the support of the Administration Manager and/or the Accounting Manager (ACMA).
- Assist the Administrative Manager with translating documents into the local language. Assist the Administrative Manager during meetings as requested.
REQUIREMENTS
Education
Essential, a degree related to accounting, business or management.
Experience
Prior professional experience of at least two years in relevant professions.
Experience with MSF or other NGOs.
Experience using Homere and FFC software is preferred.
LANGUAGES
Proficiency in French and Creole.
Awareness
Essential computer skills (Word, Excel, Internet)
