Job Description
The HR Compliance and Staff Care Specialist supports the HR Lead in the operational management of HR activities related to compliance, employee well-being, health insurance, and social obligations. They ensure the proper application of HR policies and procedures, manage the administrative follow-up of social and medical files, and contribute to strengthening HR communication with employees.
Responsibilities
Operational Execution and HR Compliance
- Ensure the proper execution of HR operations and transactions in alignment with the HR department’s OKRs.
- Monitor HR compliance indicators and propose corrective actions in case of discrepancies.
- Contribute to the updating, popularization and continuous improvement of HR policies and procedures.
- Supporting managers and teams in the correct interpretation and application of HR policies, in compliance with applicable labor law and internal rules.
- In collaboration with the HR legal specialist, ensure the follow-up of disciplinary files from an HR and procedural point of view, ensuring compliance with steps, deadlines, required documents and internal standards.
- Centralize the archiving of disciplinary files and other sensitive HR files.
Employee well-being management
- Coordinate the administrative management of employee health insurance.
- Ensure the ordering, receipt and distribution of insurance cards to employees within the required timeframes.
- Monitor the quality of services offered by the insurer through periodic evaluations, satisfaction surveys and field visits to healthcare providers, in coordination with relevant partners.
- Compile employee feedback on insurance services and suggest areas for improvement.
- To propose strategies for the implementation of new options for improving health coverage and the quality of service offered to employees.
Employee relations
- Under the supervision of the manager, regularly train OAF teams on good human resources practices, raise awareness of the organization’s policies and procedures, document irregularities, propose solutions and implement improvement actions.
- Under the supervision of the manager, ensure the continuous updating and improvement of the LEAF intranet portal and communication channels between employees and Human Resources.
- Participate in periodic meetings with the organization’s leaders on behalf of human resources.
Management of social obligations and relations with the INSS
- Coordinate reports related to workplace accidents and ensure the completeness of required files.
- Coordinate declarations relating to social security contributions.
- Collect and verify the necessary documents from medical facilities and other relevant stakeholders.
- Supporting employees in their administrative procedures with the INSS, particularly for medical appointments and file follow-up.
- Coordinate the registration of new employees with the INSS and ensure follow-up on obtaining registration numbers.
- Participate in the administrative monitoring of social security contribution declarations in conjunction with the relevant teams.
Team culture, commitment and inclusion
- Actively participate in the planning and organization of social events and activities that promote employee engagement.
- To serve as a role model by embodying the organization’s values ​​and contributing to a positive work environment.
- Support the integration and orientation of new employees according to the department’s needs.
- Contribute to the implementation of diversity, equity and inclusion initiatives led by local and global HR.

Requirements:
- Strong knowledge and interpretation of Burundian labor law as well as our policies and regulations
- A good ability to plan projects of medium complexity
- A great ability to communicate
- Having good listening skills and the ability to identify problems
