Purpose of Assignment

The Information Management Assistant plays a dual role, combining front desk responsibilities with data and records management. This position includes greeting and assisting beneficiaries, answering phones, and scheduling appointments, while also performing data entry, maintaining records, and organizing information systems. A key aspect of the role is ensuring a professional and welcoming reception area, alongside efficient handling and organization of information. Strong interpersonal, organizational, and computer skills are essential for success in this position.

Main tasks and responsibilities:

Reception/ Front Desk Management:

  • Answer and direct incoming phone calls.
  • Manage staff and Beneficiaries calendars, including scheduling appointments.

Data Entry & Management:

  • Enter new information accurately into systems.
  • Update, verify, and correct existing data as needed.
  • Maintain organized records, both electronic and physical, to ensure data accessibility and integrity.

Information Management:

  • Handle sensitive information with a high degree of confidentiality.
  • Organize and securely store documents for efficient retrieval.
  • Support data collection, basic analysis, and report preparation as required.

Administrative Support:

  • Assist with special projects and team initiatives.
  • Coordinate basic office maintenance and supply inventory.
  • Issuing and communication purchase requests in coordination with other team members.
  • Coordinate with the operation team to ensure project needs is fulfilled.
  • Provide general administrative assistance to team members as needed.

Coordinating with stakeholders:

  • Manage communication with external stakeholders including MoH, local CBOs and others.
  • Provide monthly report about SAMS rehabilitation operation to direct supervisor.
  • Conduct field visits to coordinate SAMS operation with stakeholders.

THE CANDIDATE’S REQUIREMENTS

Mandatory Qualifications required

  • Bachelor’s degree in Information Management or a related field is required
  • Minimum of 3 years of experience in information management role.

Languages

  • Fluent written and spoken in Arabic
  • Intermediate written and spoken English
