  • ABOUT CLAC

The Latin American and Caribbean Coordinator of Small Producers and Fair Trade Workers (CLAC), is an Association established with legal status in El Salvador, which brings together Small Producer Organizations ( as) and Agricultural Workers Organizations within Fair Trade. In which coffee, sugar, honey, quinoa, bananas, cocoa, fresh fruits, among others, are produced. CLAC is organized into “National Coordinators”, “Product Networks” and the “Worker Network”; The former group CLAC member organizations by country, while the Product Networks group organizations by product regardless of the country in which they are located and the Workers Network groups worker organizations from the different countries.

CLAC’s vision is to be the leading network in representation, support and strengthening of organizations of small producers and Fair Trade workers in Latin America and the Caribbean, promoting sustainable development and promoting empowerment, self-management and human rights to achieve decent livelihoods for producers, workers and their communities. And in this context, our organizational goals are: 1) Increase access to new and existing markets, 2) Strengthening and development of membership, 3) Promote Fair Trade, principles and values, 4) Advocate for production, trade , and responsible consumption to promote sustainable development, 5) CLAC organizational sustainability, 6) Contribute to the SDGs through the inclusion of good social and environmental practices.

  • CONTEXT OF THE CONSULTING

In 2024, CLAC will be celebrating twenty years of foundation. Within this framework, the CLAC HOPE AWARDS will be held for the first time, which seek to recognize the best practices of Fairtrade certified organizations in Latin America and the Caribbean in five categories established for these recognitions.

For this reason, plastic artists based in Mexico are invited to participate in this call to design and make the statuettes for the CLAC Esperanza Awards. (1 statuette per category)

Proposals must be linked to the benefits of Fair Trade in relation to agriculture, sustainable development, the promotion of respect for human rights, innovation and the promotion of more equitable trade relations.

The bidding artist is asked to present within his proposal a small sketch of the design he envisions for the statuette in general, what material he proposes it to be made of, and any other relevant information he considers for its design.

A qualifying jury made up of CLAC representatives will select the best proposal and the strategic communication unit will be in charge of continuing the process of making the statuettes with the selected artist.

Design and make the statuettes that will be presented at the CLAC Esperanza Awards ceremony to be held in November 2024. In addition, create multimedia resources to promote said award.

  • TECHNICAL REQUIREMENTS FOR THE FIGURINES

1- The file of the conceptualization of the design of the awards will be delivered in formats:

  • PDF document
  • Editable document (in Adobe Illustrator, InDesign format)

This file must contain the design images of each statuette, colors, materials, etc.

2- The prizes must be made from materials such as ceramics, clay, wood or other materials chosen by the selected artist.

3- The awards must be delivered physically packaged with the required protections to be transported to the headquarters of the awards ceremony.

4- Photographs of the awards and the artist must be delivered virtually in high quality, in .jpg and RAW format

5- The promotional videos for the awards must be delivered in the formats:

  • Full HD 1080P (1920×1080) quality using the CLAC logo and respecting the instructions of the CLAC Brand Manual
  • High quality compressed format for web use: HD 720P (1280×720), 24 FPS, mp4, h.264, using the CLAC logo and respecting the instructions in the Manual CLAC brand

6- The music used in the videos must be free of copyright or the consulting artist must have written authorization, which also must be delivered. They can also use music to which CLAC has the rights.

IMPORTANT NOTES:

  • To participate in the call, each artist must present a first design sketch of the statuette for the Esperanza CLAC award, as well as a portfolio of their previous works.

SUGGESTED METHODOLOGY

Once the artist with whom the consultancy will be carried out has been selected, CLAC’s strategic communication unit will follow up on the hiring through:

  1. Initial meeting to: train the consultant on CLAC and its policies, review aspects of the contents of the products to be delivered and secondary information relevant to the context of the consultancy.
  2. The artist must present two more detailed proposals for the design of the statuettes for the Esperanza CLAC awards.
  3. Once comments on the proposals have been received, the artist will make the requested changes and send an updated version of the design proposal.
  4. Once CLAC approves the design, the artist will proceed to make the statuettes for the CLAC Esperanza award, sending CLAC photographs of the finished version of the statuettes.
  5. Periodic monitoring meetings will be held.
  6. The artist will make two videos in which he/she talks about the concept behind the statuettes and shows the process of making them. Additionally, she will take photographs of the figurines. These audiovisual materials will be delivered in the formats established in this TOR.
  7. A virtual session and/or presentation of the statuettes for the CLAC Esperanza award will be scheduled.
  • PROFILE REQUIRED FOR THE ARTIST

DESCRIPTION

  1. Plastic artist with experience in Latin America and the Caribbean. Indispensable
  2. Proven experience in the production of ceramic pieces or figurines. Indispensable
  3. Ease of relating, empathy and ability to generate trust with different audiences.
  4. Native command of Spanish. Indispensable
  5. Knowledge of the gender approach, citizen participation, inclusive processes and Fair Trade.
  6. Experience working with rural communities, small producers, agricultural workers.
  7. Minimum experience of 5 years of artistic production.
  8. Knowledge of the context and reality of small Fair Trade producers and workers in Latin America and the Caribbean. Indispensable

  • RESPONSIBILITIES

From the hired consulting artist:

  1. Preparation of the schedule and plan adjusted to the requirements of the TDR, for the design and production process of the statuettes for the Esperanza CLAC awards.
  2. Work meetings with the CLAC team for guidelines on the development of the products contemplated in the consultancy.
  3. Preparation of the six statuettes and the communication products contemplated in these terms of reference.
  4. Review with the CLAC team of the design and audiovisual materials prepared.
  5. Preparation of the final products, with their respective packaging for transportation.
  6. Delivery to CLAC of the final products, as agreed.
  7. The hired artist will be responsible for the proper and ethical handling of the visual elements, as well as the documents and information provided to them within the framework of the consultancy.

From CLAC:

  1. Guide the hired consulting artist in the development of his or her work route for the realization of the products contemplated in the TDR.
  2. Timely deliver the relevant information and documentation to the consultant, as well as guide him or her on its use.
  3. Provide feedback to the hired consulting team about the consulting products.
  4. Carry out an induction on CLAC and its policies.
  5. Carry out the contracting of services, following the defined procurement policies, manual and procedures.

How to apply

  • CONTRACT CONDITIONS

DURATION OF CONSULTING: (6 months)

The hired consultant will receive the support of the CLAC team, who will facilitate contacts, the necessary general information and will support the definition of the general schedule; However, the hired consultant must be in charge of making direct contact with the people designated for the delivery of the final products established in this consultancy.

PAYMENTS (disbursement schedule):

Payments for carrying out this consultancy will include both the fees of the contracted consultancy/agency, as well as any payment related to logistics and travel around the country, so it must be taken into account when submitting proposals for this consultancy. Three disbursements will be made distributed as follows:

Product

  1. Approved work schedule and delivery of the first design proposal for the award. 30%
  2. Delivery of updated and approved proposals for the design of the awards. 30%
  3. Delivery of the final version of the design proposal for the awards, promotional videos and photographs and all the products contemplated in the consultancy. 40%

NOTE: CLAC will make payments to the hired consultant who is selected without incurring withholdings of any kind. The tax obligations generated as a result of this consultancy will be under the sole responsibility of the hired consulting team, in accordance with the provisions of the legislation of the respective country or country of residence of the latter.

  • INTELLECTUAL PROPERTY

It is established in these terms of reference, which will be an indivisible part of the contract that generates the hiring of the consultant, that all design, audiovisual, photographic, communication or intellectual production resulting from the work carried out and all other complementary information will be considered from its preparation as the property of CLAC and Fairtrade Internacional, who will have the exclusive rights to publish or disseminate them. Likewise, the consulting team may not use the documents/products or content resulting from this contract in any event, presentation, etc., if it does not have written authorization from CLAC.

  • GENERAL CONSIDERATIONS
  1. The work can be carried out by an artist with verifiable experience in accordance with the described requirements.
  2. The costs of communication, transfers and any other costs incurred will be borne by the hired consultant.
  3. All information and all audiovisual materials collected must be delivered to CLAC at the end of the consultancy.
  4. The hired consultant will be subject to the Legal and Fiscal framework of the place where the contract is signed.
  5. Absolute confidentiality must be preserved regarding the information and documentation to which you have access or that is provided to you formally and informally, and you may be subject to sanctions if you fail to comply with the required confidentiality.
  6. In case of non-compliance with the submission deadline, the contracted consultancy/agency will be fined one percent (1%) for each calendar day of delay of the total amount. Fines may not exceed 20% of the total amount of the contract, leading to its termination. In the event of an agreement between the parties, due to force majeure, the deadline may be extended without incurring any fine.
  • DUE DILIGENCE

Being an organization regulated by the legislation of El Salvador, CLAC must comply with the requirements established by the regulations regarding the prevention of money and asset laundering. To do this, a due diligence process will be carried out with the purpose of identifying our consultants and suppliers (identifying whether they are natural persons or legal entities). This is a mandatory requirement to be able to participate in this consulting process. You will receive an email from CLAC once the deadline for submitting proposals has ended.

  • RECEPTION OF PROPOSALS

Last date for receipt of complete proposals, no later than December 18, 2023.

It is recommended that interested parties send their proposals considering at least the following elements:

  • Resume of the participating artist
  • Initial award sketch
  • Artistic production portfolio
  • Motivation letter
  • Detailed methodological, technical and economic proposal
  • Samples of articles or publications on his artistic trajectory
  • References
