Position Summary
The MEAL Assistant is responsible for implementing and strengthening MEAL and Data Management systems across assigned projects. The role combines program monitoring, data management, accountability, and reporting functions to ensure high-quality data, effective learning, and evidence-based decision-making.
The MEAL Assistant plays a key role in ensuring that monitoring, evaluation, Accountability and learning processes are effectively implemented at the field levels, contributing to evidence-based decision-making, accountability, and adaptive management.
The employee is also required to;

Key Responsibilities
1. Supporting MEAL system, Data Collection, and Quality Assurance
• Support the implementation of MEAL plans by organizing and participating in field monitoring activities such as post-distribution monitoring, site visits, and assessments, ensuring proper planning and coordination with program teams.
• Collect quantitative and qualitative data using approved tools (e.g., Kobo, checklists, FGDs, KIIs), ensuring proper disaggregation (gender, age, disability) and adherence to standardized methodologies.
• Verify beneficiary data, attendance sheets, and activity implementation against agreed criteria and plans, including cross-checking registration lists and supporting documents.
• Support baseline, midline, and endline data collection processes, ensuring completeness, consistency, and proper documentation of all collected data.
• Identify data inconsistencies, gaps, or potential errors during field activities and report them to the MEAL Officer for validation and corrective action.
• Contribute to Data Quality Assessments (DQAs) and routine verification processes by conducting spot checks and field-level validation of reported data.
• Ensure all data collection activities follow ethical standards, including informed consent, confidentiality, and Do No Harm principles, while maintaining accurate field documentation
2. Data Management Systems & Digital Tools
• Enter, update, and maintain project data in the organization databases and systems, ensuring accuracy, completeness, and timely submission of datasets from field activities.
• Perform data cleaning by identifying duplicates, missing values, and inconsistencies, and support resolving these issues in coordination with the MEAL Officer and DM team.
• Maintain and regularly update beneficiary databases, activity/ BNF tracking sheets, and other data management tools in line with standardized formats.
• Support the use and management of digital data collection tools (e.g., Kobo, organization’s Application), including synchronization, updates, and basic troubleshooting.
• Ensure proper filing, archiving, and version control of datasets (both soft and hard copies), maintaining organized and accessible data records.
• Apply data protection protocols by ensuring restricted access, secure storage, and confidentiality of sensitive data, in line with the organization policies.
• Coordinate with the MEAL Officer and relevant teams to flag and resolve system or data-related issues and support continuous improvement of data processes.
3. Reporting & Information Management
• Collaborate with the Data Management team to ensure accurate, complete, and consistent sectoral data in databases and dashboards.
• Compile and organize raw data from field activities into structured formats to support timely reporting and analysis.
• Support the preparation of weekly and monthly reports by consolidating data, verifying accuracy, and ensuring alignment with reporting requirements.
• Ensure timely submission of data and reports to the MEAL Officer, following agreed timelines and formats.
• Document key field observations, monitoring findings, and implementation issues to support program analysis and decision-making.
• Assist in preparing datasets and supporting documents required for audits, reviews, and donor reporting.
• Ensure timely submission of data and reports in line with reporting timelines.
4. Accountability, Learning, Evaluation, Safeguarding and Capacity Building
• Support the implementation of Feedback and Complaints Response Mechanisms (FCRM) by raising awareness among communities about available channels and their rights.
• Collect feedback and complaints through field interactions and established tools, ensuring accurate recording and proper classification of cases.
• Ensure confidentiality and appropriate handling of complaints, including immediate referral of sensitive cases to the MEAL Officer.
• Support tracking and follow-up of complaints to ensure timely response and closure in line with SOPs.
• Participate in community consultations (FGDs, meetings) to gather feedback on program relevance, accessibility, and effectiveness.
• Share community feedback and field-level insights with the MEAL Officer to support learning, program adaptation, and improved service delivery.
• Support documentation of lessons learned and community perspectives to contribute to ongoing learning processes.
• Uphold the organization’s safeguarding, gender, and protection policies in all data collection and field activities.
5. THER RESPONSIBILITIES AS ASSIGNED: 5%
Required Qualification, Skills and Experience
- Bachelor’s degree in social science, Statistics, Engineering, or other relevant field (or equivalent combination of education and work experience).
- Minimum 1 year of experience in MEAL, data management roles within humanitarian or development programs and proven experience supporting partner-based programming and data quality verification
- Minimum 1 year experience working with LER and WASH & Shelter projects and understanding of sectoral indicators and data requirements.
- Good foundational skills in quantitative and qualitative data collection, cleaning, and basic analysis.
- Proficiency in basic Excel and data collection tools (e.g., Kobo, ODK); familiarity with other digital tools is an asset.
- Good written and verbal communication skills and ability to work effectively within a team environment.
- Excellent interpersonal skills and ability to work in a cross-functional team environment.
Desirable:
Certification in MEAL, data management, or project management.
