Multipurpose General Services Agent (M/F) At Doctors Without Borders

Doctors Without Borders, an international humanitarian medical association created in 1971, provides medical assistance to populations whose lives are threatened: mainly in cases of armed conflict, but also epidemics, pandemics, natural disasters or exclusion from care.

Reporting to the Head of the Service and Maintenance Department, the General Services Multipurpose Agent is responsible for organizing the use of workspaces and coordinating the implementation of improvements, taking into account the site’s technical constraints and the occupants’ needs, in order to guarantee suitable and functional working conditions. They contribute to the overall smooth operation of the building, the safety of property and people, and provide occupants with the resources and services necessary for their professional activities.

Main job activities:
Organizing the use and layout of workspaces

  • Gather installation requirements and take into account technical and usage constraints
  • Propose occupancy scenarios, particularly for spaces that are overcrowded.
  • Adjust the implants according to internal movements
  • Manage the workstation sharing tool and provide user support.
  • Update existing development plans based on the movements
  • Replace damaged furniture and improve the comfort and functionality of spaces
  • Participate in spatial allocation work in conjunction with the methods technician
  • Managing furniture storage spaces and anticipating restocking needs

Contribute to improving the quality of outsourced services

  • Verify that the services have been performed according to the defined instructions.
  • Identify and report any anomalies or malfunctions observed.
  • Participate in quality control checks during rounds
  • Facilitating the intervention of service providers on site

Facilitating the integration of occupants and users

  • Contribute to the security and logistical support of external groups and events,
  • Provide occasional coverage at reception
  • Questioning employee satisfaction and user perception
  • To inform and disseminate best practices in usage and behavior

Handle routine requests related to general services

  • Receive requests from occupants and ensure their processing
  • Adapt the processing of requests according to the defined instructions and priorities
  • Monitor the processing of requests and report any difficulties or irregularities.

Perform level 1 maintenance

  • Check that the technical and service equipment is functioning correctly.
  • Perform level 1 maintenance operations
  • Escalate the maintenance level in case of anomalies
  • Assess the recurrence of malfunctions and the need for renewal

Participate in the safety and security of the premises

  • Manage badges and keys according to established procedures.
  • Check the visible condition of safety equipment and that passageways are clear.
  • Preventing health and safety risks through appropriate actions (posters, isolation, etc.)
  • Reporting, protecting against, and addressing hardware or operational incidents and anomalies

Managing logistics flows, inventory tracking and availability

  • Prepare and ship packages by adapting the carrier
  • Receive, check, inventory and store deliveries
  • Provide the equipment and supplies
  • Keep storage areas tidy
  • Anticipate restocking needs

Purchase routine consumables

  • Place orders according to the defined procedures and allocated budget.
  • Determine additional needs and request quotes
  • Verify the conformity of deliveries, manage complaints and returns
  • Establish regular consumption reports and compile summaries.

Ensuring the proper functioning of spaces and associated services

  • Keeping rooms and communal spaces tidy and prepared
  • Supplying common consumables and configuring spaces on demand
  • Maintain the conditions of use of collection points and tea rooms

Contribute to improving the organization of general services

  • Promote collaboration with other services/departments
  • To propose improvements that contribute to the quality of working life for occupants
  • Sharing information and harmonizing practices within the team
  • Ensuring the continuity of service activities and providing logistical support to the team
  • Contribute to the identification of recurring malfunctions

Desired profile

Experience: Bachelor’s degree (Bac+3) in general services management. Three years of professional experience in a similar position or two years as a general services agent in a non-profit organization.

SKILLS :

  • Ability to manage multiple pieces of information and simultaneous priorities
  • Good knowledge of office software (Microsoft Office suite)
  • Possess technical knowledge in HVAC, electricity, plumbing, and fire safety.
  • Electrical authorization HOBO, BE Manoeuvre and BS
  • Basic proficiency in AutoCAD and SketchUp

Languages: French and basic English (B1 level)

Status: Permanent full-time contract. Position equivalent to management, based in Paris.

Compensation and benefits:

  • €38,400 gross annual salary over 13 months
  • 22 days of RTT (reduced working time) per year
  • Health insurance covered 100%
  • Meal vouchers worth €12 (60% covered by MSF)
  • 50% reimbursement of public transport pass (weekly, monthly or annual) OR bicycle mileage allowance (€0.25 per km, limited to €450 per year)
